Job Overview
HighRadius is seeking an Office Manager to join our People Operations Team. The ideal candidate has a customer service-oriented mentality and strives to deliver quality work with speed and accuracy.
This role will set the stage for an exceptional in-office experience, managing everyday office operations, facilities management, visitor coordination, vendor management, and supporting the radiant HighRadius culture through employee event planning. The person for this role should be extremely organized, detail-oriented, a great company ambassador, and create unique experiences for employees.
Duties and Responsibilities- Office & Facilities Management
- Executes daily in-office checklist for the optimal employee experience
- Handles all office needs that come up on a daily and weekly basis via quick problem-solving
- Must create strong relationships with facility and campus contacts for building management and support
- Manages office construction, furniture, branding, and supplies with vendors to create an optimal in-office experience
- Event Management
- Create and leads employee and department ZING events on a monthly and quarterly basis to bring the HighRadius culture to life
- Leads small and large group events, board and executive onsite meeting coordination, and special event planning that provides an amazing experience for everyone
- Negotiates with vendors for the top option and best price for each event
- Celebrates important milestones and recognition, organizing gifting for events
- Visitor Management
- Coordinates and leads VIP and confidential meetings internally and with external guests
- Provides a white glove service to executives, first time visitors, and candidates upon arrival at the office
- Ensures all visitors have their needs met from arrival to departure
- Travel and Expense Management
- Arranges complex travel for group visits, company executives, important visitors, and executive candidates, both domestic and international
- Technology savvy in using various calendaring and survey tools for scheduling
- Basic Financial Modeling
- Manages a monthly budget for in-office and event needs to ensure we come in at or under budget every month
- Adept at financial modeling and comfortable using MS Excel and Google Sheets for budgeting and financial decisioning
- Scrappy and savvy with money management to maximize the bang for the buck
- Bachelor's Degree preferred
- Bilingual fluency in Spanish preferred
- Experience in operations, office/facilities management, or event planning/management
- Excellent Program/Project Management skills
- Poised, professional, and love to work hard and have fun while doing it
- Resourceful and creative when solving problems
- Highly adaptable and takes last-minute changes like a champ
- Tech-savvy and knowledgeable of GSuite Office tools
- Availability to work outside of normal office hours or on weekends if needed
- Ability to work primarily on your feet and on the go
