What will you be doing?
- Oversee the day-to-day functioning of the office to create a welcoming environment for everyone.
- Welcoming and assisting visitors to the India Matillion office
- Manage and maintain the tidiness and professionalism of the office environment
- Point of contact for all suppliers including cleaning contractors and building management
- Liaise with other Office Managers to ensure culture and policies are consistent between sites
- Maintain strong relationships with current and new vendors
- Build and maintain strong relationships with internal and external stakeholders.
- Managing office key cards and security access requests
- Ensure compliance with local fire safety, security, and workplace regulations
- Build a strong relationship with building management
- Purchasing equipment and other supply items needed for the office - ensuring these are tidy, in date and in stock
- Ordering lunches for office events/meetings
- Own SWAG distribution for India employee
- Support with the administration and coordination of travel requests and bookings for visitors to and from the India office
- Be the face of the Hyderabad office - organising events, celebrations, and other internal events.
- Support the onboarding of new hires, providing office tours, access set up, and welcome kits.
- Participate in wider employee engagement programs that impact the office environment.
- Support on events and general administration as requested by the wider People & Culture team
- Miscellaneous projects as business dictates
- Occasional support for the IT/Security Team when required
What are we looking for?
- Demonstrable experience in Office Management, facilities management, or similar role, preferably with new office set up experience.
- Collaborative style able to support fast-paced business and want to share and develop best practices
- Experience managing external vendors Familiarity with India-specific office practices, labor regulations and/or health and safety requirements.
- Previous experience with systems such as Slack, G Suite, Navan, Asana, and Jira or similar
- Superior organisational and multitasking skills
- Excellent verbal and written communication skills
- A people-first attitude and ability to work independently with minimal supervision.
- Customer service mindset and experience of processes and principles
- Comfortable working cross-functionally and across timezones.
