About the role.
We are seeking a highly organized and proactive Office Manager to join our team in Chicago. The ideal candidate will be responsible for managing daily office operations, coordinating events, and providing administrative support to ensure the smooth functioning of our office. This position requires the individual to be in the office a minimum of four days per week (the office is located next to Union Station).
What you'll do.
- Assist Senior Leadership Executives in Chicago with travel, expense and calendar management.
- Oversee administrative office operations to ensure efficiency and smooth workflow.
- Provide full coverage at the reception area, including handling incoming and outgoing mail.
- Support employees with travel preparations and accommodations for corresponding office visits.
- Support management by coordinating company events, meetings, and other related planning.
- Order and arrange lunch for the office weekly.
- Maintain office supplies, ensuring the office is well-stocked with office essentials, snacks and beverages.
- Set up and support conference room arrangements for meetings.
- Assist vendors and visitors upon arrival at the office.
- Support IT needs and facilitate workstation setup for employees.
- Assist Marketing and Sales with weekly reporting and document management.
- Manage special projects and provide cross-departmental support on an ad-hoc basis.
- Contribute to local office committees and assist with event planning preparations.
What we're looking for.
- 1-3 years of prior experience as an office manager or in a similar supervisory role, managing the operations and expectations of a cross-functional team.
- Excellent organizational, multitasking, and time-management skills.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and as part of a team.
- Comfort with technology and willingness to learn new tools as needed.
The base salary for this role can range from $65K - $90K, based on a full-time work schedule. An individual’s ultimate compensation will vary depending on job-related skills and experience, geographic location, alignment with market data, and equity among other team members with comparable experience.
