Job Description
POSITION OVERVIEW:
The Office Manager supports the Austin Office to ensure that all employees and clients receive the absolute best culture experience at Stream Realty. The position will be responsible for the management of the Austin office and area satellite offices by creating efficiencies and processes to give first-class service to our clients and employees.
This role will encompass a diverse array of tasks, from managing administrative duties to fostering a positive and efficient workplace culture. This is the go-to person for both internal team members and external stakeholders, ensuring that all aspects of the office run seamlessly. A warm demeanor, excellent communication skills, and attention to detail will be instrumental in creating a welcoming and professional atmosphere.
PRIMARY RESPONSIBILITIES:
- Responsible for daily operations of the office; answering phone calls and transferring to appropriate persons; receiving and coding emailed invoices: ordering business cards, orienting and training new team members, maintaining all office equipment, collecting mail from building mail room and distributing it; preparing outgoing FedEx items and getting them to FedEx location for pick up. Provide notary service for construction and finance departments.
- Train onsite managed properties to use local and national vendors.
- Assist in the management of strategic partnerships with local and national vendors.
- Provide receptionist duties including scheduling of meetings in three conference rooms via Outlook calendar.
- Manage office and kitchen supply order cycles.
- Stock all refrigerators with drinks daily, load and unload dishwasher.
- Maintain and order furniture.
- Handle incoming and outgoing mail, packages, and deliveries. Responsible for managing the FedEx account, creating shipment labels as needed, and invoice processing.
- Oversee the maintenance, cleanliness, and organization of the office space, including conference room technology, appearance, and readiness for meetings. This includes restocking refreshments as needed and light catering requests.
- Liaise with building management and/or vendors for inside suite repairs and services, placing work orders for all building maintenance items inside the suite or restrooms on the floor. Maintain contact with vendor providing plants to the regional office. Maintain communication and updates with the afterhours monitoring company servicing Austin properties.
- Maintain office contracts.
- Manage parking for regional office employees.
- Establish and implement systems and procedures as required.
- Coordinate with the Corporate IT department regarding computers, phones, copiers, printers, and AV equipment.
- Plan, coordinate, and manage office moves.
- Manage document storage.
- Assist in planning and setting up events such as annual potluck lunches, Monday lunches, health fairs, flu shot clinics and more.
- Maintain the office's neat appearance and organization.
Qualifications
- Previous Office Manager or Office Operations experience required
- Previous call management and receptionist experience required
- Good attendance and dependability are a MUST!
- Intermediate MS Office (SharePoint, Outlook, MS Teams, Excel, Word, etc.) to include the ability to coordinate and schedule using Outlook and MS Teams required
- Must be able to grasp, seize, hold, and turn objects, reach at, above, or below shoulder level to retrieve or utilize materials, pull, push, open, and close file drawers, cabinets, or office doors, squat, lift and carry up to 25 pounds, general housekeeping, unloading, stocking.
- Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion is required
- Strong proactive skills and an ability to anticipate needs with minimal direction
- Highly organized with strong follow-up skills and the ability to multitask
- Strong verbal and written communication skills
- Strong internal customer focus, especially in delivering high-quality results
