Job Description
Responsibilities:
This role includes Management of all Facilities, Business Support and FOH Services
and Staff Management as defined by the Operating Model.
You will have responsibility of security, maintenance, Health and Safety and services of
work facilities to ensure that they meet the needs of the organisation and its employees.
In addition to the responsibilities of IQ-EQ you will also have responsibility for managing
the relationship with the Building Landlord facilities team, ensuring full compliance
against our contractual requirements.
Tasks:
• Day to day management of providers for; security, parking, cleaning,
catering, M&E and technology
• Ensure the day to day running of the office is smooth and efficient
• Anticipate the needs of the office, particularly during busy and provide
appropriate levels of support.
• Act as first point of contact for the office, suppliers and contractors.
• Supervising multi-disciplinary teams of staff including Reception Services,
Cleaning, Maintenance, Landscaping and Security
• Management of Staff Access/CCTV to relevant premises
• Oversee Health & Safety, fire safety duties, compliance and regulation
standards
• Out of hours call out for all building/access/intruder emergencies
• Ensure all relevant insurance and all certification is correct and up to date
• ESG and Sustainability initiatives. Report on Energy, Utilities and waste
management
• Support Head of Facilities Management with management of contracts
and providers for all FM services including Hard and Soft Services;
security, parking, cleaning, catering, M&E and technology.
• Covering Front of House Reception when required. Please refer to Front
of House Reception role.
• Ad-Hoc duties (to include updating the ROBIN platform etc)
Qualifications
• Previous experience of working as an office manage or senior administrator
• Ability to demonstrate a proactive and solution orientated approach
• Advanced knowledge and practical use of Microsoft Products
• Strong communication and interpersonal skills
• Ability to deal professionally and discreetly with confidential information
• Company and or Financial market awareness
