Role Overview:
As Masterworks continues to expand, we are seeking an energetic and hyper-organized Office Manager to join our team and contribute to our vibrant workplace culture.
As the Office Manager at Masterworks, you will play a pivotal role in ensuring the smooth operation of our office environment. This position requires someone who thrives in a fast-paced setting, can multitask effectively, and is willing to take on various responsibilities to support our team. You will report directly to the Manager, Talent and People Operations and liaise closely with the Executive team. Our team of ~150 employees currently works on-site full-time in Brookfield Place, but will be transitioning to a new office in the new year - our Office Manager will lead that charge.
Key Responsibilities:
- Administrative Support:
- Act as the first point of contact for visitors and guests, providing a warm welcome and ensuring a positive experience.
- Conduct office tours for new employees and assist with onboarding processes.
- Manage the building security list and ensure compliance with security protocols.
- Office Operations:
- Coordinate daily lunch catering and ensure timely delivery of meals. (sourcing caterers, ordering lunch, assisting with set-up and clean-up)
- Develop and implement office policies and procedures to ensure efficient operations.
- Monitor and manage office supplies inventory, ordering supplies as needed and ensuring cost-effective procurement.
- Budget management for office-related expenses
- Office Relocation:
- Develop and implement a detailed project plan for the office move, including timelines, budgets, and resource allocation, regularly updating senior management on progress.
- Identify and manage relationships with movers, contractors, IT, and other service providers to ensure cost-effective high-quality services.
- Oversee the packing, transportation, and setup of office furniture, equipment, and supplies, ensuring the new office is fully operational by the move-in date.
- Ensure minimal disruption to Masterworks’ daily activities and maintain a productive work environment throughout the move.
- Facility Management:
- Manage a housekeeping staff of two full-time employees, assisting as needed.
- Addressing any maintenance or facility-related issues promptly.
- Handle vendor management, including liaising with external vendors and building management.
- Event Planning and Coordination:
- Assist in planning and executing social and engagement events to foster team spirit.
Requirements:
- 5+ years experience working in administrative or office management roles with over 100 employees, and experience managing office relocation.
- Professional working proficiency in Spanish, a plus
- Full-time, in-office availability with flexibility in working hours when necessary.
- Self-motivated, energetic, and positive attitude with a willingness to tackle any task, no matter how small.
- Punctual, reliable, and deadline-driven personality.
- Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of staff and external contacts.
- Strong organizational and multitasking abilities, with a keen eye for detail.
- Proficiency in Google Suite and calendar management.
- Bachelor's degree or equivalent experience preferred.

- Must be authorized to work in the US
- Must be willing and able to work in NYC - not a remote role.
How does Masterworks think about compensation?
The compensation range for the role is $80-110k. Our ranges are very broad to accommodate all types of candidates and encourage growth. Specific compensation offered to a candidate may be dependent on factors such as education, experience, qualifications, and alignment with market data. Exceptional candidates may receive salaries outside of the posted ranges.
