Adult & Teen Challenge of Texas (ATCOT) is seeking an organized, dependable, and service-minded Office Manager to support the daily operations of our Corporate Office. This position oversees office facilities, technology and copier coordination, company vehicles, financial deposits, office assets, and other administrative functions that help keep our Corporate Office and campuses operating smoothly.
The ideal candidate is someone who is organized, personable, dependable, comfortable managing multiple responsibilities, and committed to supporting the mission and values of Adult & Teen Challenge of Texas.
The Office Manager works as part of the Corporate Office team and reports directly to the President/CEO of ATCOT. This position works closely with Corporate Office staff, campus representatives, and outside vendors, including IT and copier service providers.
The Office Manager also communicates regularly with the Office Specialist regarding the daily operations and needs of the Corporate Office.
Demonstrates spiritual maturity and supports the mission and values of Adult & Teen Challenge of Texas.
Must be amiable to the doctrine and beliefs of the Assemblies of God.
Strong organizational and communication skills.
Ability to manage multiple responsibilities and prioritize tasks effectively.
Comfortable working independently while also functioning as part of a team.
Proficient in Microsoft Office applications.
Familiarity with QuickBooks and other administrative or business software is preferred.
Ability to work professionally with employees, campus representatives, vendors, and visitors.
Previous office management or administrative experience is preferred.
Office Operations & Facilities
Oversee the daily operational needs of the Corporate Office.
Maintain a clean, safe, orderly, and functional office environment.
Coordinate office maintenance, HVAC service, pest control, safety needs, and other facility-related services.
Maintain Corporate Office floor plans and property surveys.
Coordinate Corporate Office tours.
Manage the Corporate Office conference room, including scheduling, seating, meals, and snacks for meetings.
Sort and distribute incoming Corporate Office mail in a timely manner.
Assist with Corporate Office events and banquets as needed.
Serve as the primary liaison with copier service providers for contracts, service, supplies, and usage.
Serve as the Corporate Office liaison with ATCOT's IT support provider.
Maintain an up-to-date inventory of Corporate Office computers and other technology assets.
Coordinate the purchase, replacement, and disposal of computers according to established schedules and guidelines.
Help ensure Corporate Office equipment and assets remain functional and properly maintained.
Create Corporate Office deposit logs as needed.
Review campus deposit logs and enter applicable information into QuickBooks.
Submit required deposit documentation to the Business Manager.
Receive funds intended for the Corporate Office, prepare deposits, and make deposits into the appropriate ATCOT bank account.
Submit deposit documentation and bank receipts to the Business Manager.
Manage Corporate Office petty cash, including distributing funds, collecting receipts, maintaining accurate records, and securing cash.
Maintain registrations, inspections, titles, and records for ATCOT vehicles.
Maintain an up-to-date vehicle list by campus/location.
Coordinate timely maintenance and service for Corporate-owned vehicles.
Maintain and manage vehicle toll tags.
Help ensure company vehicles and other physical assets are properly maintained and operational.
Monitor ATCOT's lead management system for new student inquiries and distribute leads to the appropriate campus.
Review graduation requests and prepare graduation certificates.
Coordinate the delivery of graduation certificates to campuses before graduation services.
Communicate regularly with the President/CEO regarding progress, responsibilities, and operational needs.
Provide monthly updates on the status of assigned duties and projects.
Work cooperatively with Corporate Office staff, campus representatives, vendors, and other ATCOT personnel.
Perform other duties and special projects as assigned.

This is a hands-on position that requires someone who is comfortable moving between administrative work, vendor coordination, facility needs, financial responsibilities, technology support, and day-to-day office operations.
