Office Manager
Seattle, WA (Onsite)
3+Month (Temp to Hire)
Mon-Fri, 8am- 5pm

Qualifications

 

The Site Manager is responsible for the daily operations of a small to medium-sized site in a legal office environment while managing a small team. The role oversees contracted services including copy services, courier services, managed print services, hospitality, imaging, and mail services. The position requires management experience along with hospitality/customer service and document production experience.

Responsibilities

  • Manage daily operations of a small to medium-sized site and supervise a small team of direct reports.

  • Manage contracted copy, courier, managed print, hospitality, imaging, and mail services.

  • Prioritize multiple and competing priorities while communicating team vision and priorities and maintaining a helpful, positive work culture.

  • Demonstrate working knowledge of products and service offerings and efficiently use existing processes or provide alternatives when needed.

  • Manage production labor and quality control labor percentages established by the company.

  • Improve operational quality through effective implementation and management of service excellence tools.

  • Ensure achievement of Service Level Agreements and work with customers to improve business processes.

  • Maintain a customer-focused environment through regular end-user feedback and customer satisfaction surveys.

  • Ensure audit, deadline, standards, and compliance requirements are met.

  • Ensure the site is properly staffed by matching employee skills and equipment with production demands.

  • Motivate employees and recognize accomplishments in a timely manner.

  • Train, cross-train, coach, counsel, direct, and evaluate employees to improve work output and quality.

  • Identify training and performance planning targets and support staff development through Individual Development Plan management.

  • Evaluate team member performance and provide career development and training opportunities.

  • Maintain formal daily contact with the customer and understand client requirements.

  • Identify service delivery gaps and scope creep and adjust process documentation while ensuring financial responsibilities are met.

  • Facilitate resolution of pricing, orders, and invoicing issues by working with the sales department.

  • Create and support required site reporting, customer presentations, and business reviews.

  • Perform other duties as assigned.

Requirements

  • High school diploma or GED required.

  • 3–5 years of work experience in a related field, preferably B2B and/or technical.

  • Previous 2 years of managerial work experience strongly preferred.

  • Previous 3–5 years of customer-facing work experience required.

  • Management experience with hospitality/customer service and document production.

  • Demonstrated high-level knowledge and understanding of technology.

  • Proficient user of Office 360.

  • Strategic thought processing and complex problem-solving skills.

  • Ability to present to a medium-sized group.

  • Professional customer service and technical aptitude.

  • Professional written and verbal communication skills.

  • Ability to interpret, comprehend, and apply complex material, data, and instructions and prepare, provide, and convey diversified information.

  • Ability to work in an office environment with adequate lighting and ventilation and a normal range of temperature and noise levels.

  • Ability to stand, walk, bend, reach, stretch, climb, or perform similar activities for extended periods.

  • Ability to lift or move items weighing up to 50 lbs.

  • Moderate dexterity with regular application of basic skills, including calculator, keyboard, hand tools, and eye/hand coordination.

Additional Information

Candidates must be able to lift 50 pounds and stand for extended periods of time.

 

Skills Required
