Office Manager – Bridge Construction Project

STV is seeking an Office Manager to provide administrative and operational support for a multi-billion-dollar bridge construction project. This role will support a large construction office of approximately 40 employees, including project managers, engineers, site supervisors, and administrative personnel.

The Office Manager will help oversee daily office operations, coordinate communication across project teams and stakeholders, and maintain a productive, organized, and efficient work environment.

What You’ll Do

Administrative Management

  • Assist with day-to-day office operations to support efficiency, organization, and adherence to project timelines.
  • Schedule meetings, appointments, and project-related events for team members and stakeholders.
  • Coordinate with senior management to prioritize office needs and adjust schedules based on project milestones.
  • Manage office correspondence, including emails, letters, and memos, ensuring timely response and distribution.

Communication Coordination

  • Facilitate clear communication across project stakeholders and ensure updates are distributed efficiently.
  • Coordinate the preparation and distribution of internal and external communications, including status reports and memos.
  • Organize project-related meetings and ensure materials, resources, and logistics are prepared in advance.

Financial and Budgetary Support

  • Assist the finance team with budget tracking, invoicing, and expense reporting.
  • Monitor office-related costs and support cost-effective purchasing and resource allocation.
  • Prepare and review purchase orders, invoices, and other financial documents for approval.
  • Ensure compliance with company procurement policies and assist with vendor coordination as needed.

Document and Project Coordination

  • Support the Project Manager and engineering teams by organizing, tracking, and distributing project documentation.
  • Maintain accurate, up-to-date project records throughout the project lifecycle.
  • Help ensure project documentation aligns with regulatory requirements, internal procedures, and contractual obligations.

Compliance and Reporting

  • Assist with compliance efforts related to local, state, and federal regulations, as well as project-specific contractual requirements.
  • Prepare reports for internal and external stakeholders, ensuring accuracy, consistency, and timely submission.

Project Scheduling and Coordination

  • Assist project management teams with scheduling, coordinating office-based activities, and supporting administrative project milestones.
  • Prepare status updates for project leadership on administrative tasks and office operations.

Technology Support

  • Help ensure office technology and software systems, including project management and file-sharing tools, function properly and support team needs.
  • Coordinate with IT support teams to resolve technology-related issues in a timely manner.

What You’ll Bring

  • Experience in office management, administrative support, or a similar role, preferably within the construction or engineering industry.
  • Strong organizational, multitasking, and time management skills with the ability to prioritize effectively.
  • Clear written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and familiarity with project management, document control, or file-sharing tools.
  • Knowledge of construction project documentation, procedures, and administrative workflows.
  • Strong interpersonal skills with the ability to work collaboratively with project teams, leadership, vendors, and stakeholders.

Compensation Range:

$79,979.92 - $91,405.62
