About the role.
The SuM Admin / Office Manager is responsible for overseeing office administration, coordinating team activities, managing resources, and driving operational efficiency within the organization. Acting as a central point of contact for employees, vendors, and leadership, this role ensures that administrative processes, policies, and workflows support a productive, compliant, and well-organized work environment.
In addition to day-to-day office management responsibilities, this role will play a critical part in supporting a Greenfield project in Germany, including document control, procurement coordination, budget oversight, and regulatory readiness during the project phase.
What you'll be doing.
- Coordinate and oversee daily office operations, including information management, supplies, facility maintenance, and administrative processes.
- Lead, train, support, and evaluate administrative staff while fostering a collaborative team environment.
- Develop and implement office procedures, policies, and standards to improve productivity, efficiency, and compliance.
- Manage office budgets, monitor expenses, process invoices, and prepare financial reporting.
- Coordinate correspondence, scheduling, travel arrangements, meetings, and communications for employees and leadership teams.
- Manage vendor relationships and support procurement activities for goods and services.
- Maintain organized digital and physical filing systems while ensuring document security and confidentiality.
- Support employee onboarding activities, HR administration, and personnel record management.
- Organize internal events, team-building activities, visitor management, and employee engagement initiatives.
- Ensure compliance with health, safety, regulatory, and company requirements.
- Prepare reports, presentations, and communications for leadership as required.
- During the project phase, establish and maintain a controlled document library for the site.
- Support quality and compliance activities by ensuring required documentation and evidence are in place ahead of operational start-up.
- Collaborate with local and regional procurement teams to establish relationships with operational vendors and service partners.
- Closely monitor the SuM budget, including procurement activities, purchase order creation, and compliance with McCain processes and local regulations.
What you'll need to be successful.
- Bachelor's degree in Business Administration, Management, or a related discipline preferred; equivalent administrative experience may be considered.
- Minimum 2 to 3 years of experience in office management, office administration, or a supervisory administrative role.
- Strong organizational, planning, multitasking, and time-management capabilities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and modern administrative software tools.
- Experience managing budgets, expense tracking, financial analysis, and reporting.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Strong problem-solving skills, adaptability, and a continuous improvement mindset.
- Fluency in German is required.
- Business-level English proficiency is required.
- Additional language skills such as Dutch or French are considered an asset.

This role is part of the SuM function supporting McCain's Greenfield project in Germany. The position works closely with site leadership, quality and compliance teams, procurement, vendors, and regional stakeholders to ensure smooth operations, regulatory readiness, and effective administrative support throughout the project and operational phases.
