This role forms part of Ogier's Operations Team reporting to the Local Practice Manager. Responsible for ensuring the office working environment meets the needs of Hong Kong employees through management and oversight of day to day operational activities to ensure the office is run smoothly and efficiently.
Key Responsibilities
- Leading and supporting the evolution of the Hong Kong workspace strategy, aligned to Group principles, working closely with Ogier's Group Strategy & Premises Manager;
- Organising maintenance companies to keep the office clean and safe and ensure its appliances are in good working order;
- Managing office facilities to ensure they are safe, secure and legally compliant and ensure maintenance of office equipment;
- Maintaining clear records on suppliers, furniture and office expenses by managing invoices working closely with the finance department;
- Addressing employees' queries regarding office management issues;
- Overseeing and supporting other employees on the Operations team (receptionist, support team);
- Assisting in organising meetings and events in-house or off-site, activities, celebrations, visitor trips, and conferences.
- Supporting business continuity for the Hong Kong office in conjunction with IT, Risk and Management.
- Assisting in transportation and accommodation arrangements for inter-office visits.
- Working with the HR team to support employee onboarding and offboarding arrangements, such as workstation set up and locker/seating arrangements.
- Providing support to other Asia offices (Singapore, Shanghai and Beijing) in respect of general office operations and providing necessary office supplies.
- Supporting Ogier's environmental sustainability policy by coordinating the HK office adherence to policy and provision of relevant data for sustainability reporting.
- Supporting the Local Practice Manager to run sustainability related projects and events.
- Support Ogier's CSR strategy and local charitable giving CSR Committee, encouraging employees to get involved and contribute to the local community.
- Assisting in coordinating ad hoc office projects
Skills, Knowledge and Expertise
- 4-5 years' experience in a similar role;
- Maintain and develop a good relationship with internal and external clients;
- Positive attitude, detail orientated, strong team player and solutions orientated;
- Excellent written and verbal communication skills;
- Excellent organisational and time management skills; and
- Ability to drive support and engagement among co-workers.
