The Role
Run and improve office operations for the Yerevan office: design SOPs, maintain internal systems and data integrity, automate workflows, manage vendors and budgets, provide client operational support, provision IT access, produce ops KPI dashboards for the CEO, and coordinate cross-team system changes and quarterly ops reviews.

Description

We are looking for an Office Manager to own the systems, processes, data, and vendor infrastructure that keep the Yerevan office running. This is a pure operations role — you will work closely with the Head of HR (who owns the people side: contracts, onboarding experience, compliance, and employee relations) and with account managers, finance, and the CEO on everything operational.

Responsibility:

  • Operational process design & SOPs
  • Internal systems (Notion, COMS, n8n, GWorkspace)
  • Data integrity across all ops tools
  • Workflow automations & recurring alerts
  • Purchases
  • Operational budget tracking & cost control
  • Client operational reporting & delivery comms
  • IT access provisioning & revocation tracking
  • Office administration & local service providers
  • Ops KPI dashboards for CEO
  • Cross-team coordination on system changes

What you will own:

Finance & Vendors

  • Track operational budgets; surface overruns proactively, not after month close.
  • Identify and eliminate zombie spend — subscriptions, services, or contracts with no active usage.

Client Operations

  • Serve as the operational point of contact for service delivery matters on client accounts.
  • Coordinate IT access provisioning and revocation for contractors — own the audit trail.
  • Respond to client operational queries within the same business day.

CEO Support

  • Maintain a live ops KPI dashboard for the CEO: headcount, active contracts, expiring contracts, budget vs. actuals.
  • Flag risks early — the CEO should never hear about a problem from a client that you already knew about.
  • Run the quarterly ops review: prepare the data, present the findings, own the action items.
Requirements

Must-have:

  • 3–4+ years of hands-on operations experience at a hi-tech, IT services, staffing, or SaaS company.
  • Demonstrable ownership of systems and processes — not just task execution inside someone else's framework.
  • Strong English: written and verbal, for daily communication with Israeli and international stakeholders.
  • Financial literacy: payroll inputs, budget tracking, vendor invoice management.
  • Analytical — can spot a data anomaly and trace it to its source.

Nice-to-have:

  • Background in IT staffing, EOR, or workforce management environments.

What we offer:

  • Direct line to the CEO — real visibility and real decisions, not a support role.
  • Clear ownership: systems, data, vendors, and client ops are yours to build and run.
  • Growth path: Senior Operations Lead → Head of Operations
  • Collaborative team — you work alongside an experienced HR lead (not under them).
  • Flexible hybrid arrangement.

Skills Required

  • 3-4+ years hands-on operations experience at hi-tech, IT services, staffing, or SaaS company.
  • Demonstrable ownership of systems and processes (design and run operational systems, not just execute tasks).
  • Strong English written and verbal for daily international communication.
  • Financial literacy: payroll inputs, budget tracking, vendor invoice management.
  • Analytical ability to spot data anomalies and trace to source.
  • Familiarity with internal systems and automation tools (Notion, COMS, n8n, Google Workspace) and maintaining data integrity.
  • Background in IT staffing, EOR, or workforce management environments.
