About the Role

Pivotal Health is looking for an Office Manager, Workplace & IT Coordinator to own how our Los Angeles office runs, day to day and behind the scenes. Right now there's no single owner for office or IT issues — when something breaks, there's no clear "who do I call." You'll become that person: the one who keeps the space running, the vendors managed, new hires set up from day one, and the first line of defense when a laptop or the wifi acts up.

This is a hands-on, high-ownership seat for someone who's just as comfortable negotiating a vendor contract as restocking the supply closet — and who takes real pride in building the systems, like a shared FAQ or a clear escalation path, that mean the same question never has to get answered twice. You'll partner with IT/Security on equipment and access, but the day-to-day judgment calls are yours.

What You'll Do
  • Own facilities, vendor relationships, and the office budget end-to-end — from contract negotiations to renewals.

  • Keep shared spaces (kitchen, supply closet, common areas) stocked, organized, and genuinely welcoming.

  • Run onboarding logistics for every new hire — desk setup, equipment, and a first-day experience that feels considered.

  • Serve as first-line IT support: basic troubleshooting (wifi, hardware, account access) and equipment provisioning in partnership with IT/Security.

  • Track company assets and manage AV for meetings and events.

  • Plan and run in-person events sized for a growing office.

  • Build the lightweight systems — a Slack channel, a Notion FAQ — that don't exist yet, so recurring questions get answered once.

What We're Looking For
  • 2–4 years in office management, workplace, or operations — ideally at a startup where priorities shift and ambiguity is normal.

  • Comfortable with basic IT troubleshooting (wifi, hardware, account access) — you don't need to be technical, but you can't be intimidated by it.

  • A genuine service mindset with no ego about task size: equally at home negotiating a vendor contract and restocking the snack shelf.

  • Strong communicator with good judgment under ambiguity and real discretion handling sensitive information.

  • An eye for detail — you understand that small things (signage, seating, a clean kitchen) add up to how people experience a room.

  • This is an individual-contributor role built around ownership and follow-through, not oversight — you'll build the systems and be the go-to person, not manage a team.

Extra Credit Experience
  • Experience in healthcare, health tech, or another regulated industry.

  • Familiarity with Rippling, Google Workspace admin, or basic MDM platforms.

  • Event planning experience.
