Overview:
Serve as the primary on-site coordinator for office operations, facilities requests, building management interactions, and workplace services.
Welcome and assist visitors, clients, and employees, ensuring a professional and positive experience.
Manage office logistics, including mail distribution, UPS and courier shipments, parking requests, building access, fitness center memberships, and office waivers.
Coordinate conference room scheduling, meeting setup, and room readiness; ensure spaces are organized and reset following meetings.
Maintain office supplies, vendor orders, and inventory to support business operations.
Partner with Facilities, Technology, and business leaders to support office moves, workstation setup, and workplace needs.
Assist with onboarding activities, including preparing workspaces, coordinating equipment and access, and helping new employees transition into the office.
Prepare correspondence, presentations, meeting materials, agendas, and other business communications as needed.
Support leaders and teams with administrative and project-based assignments, helping to ensure smooth operation of the regional office.
Maintain records, process invoices and expenses, and coordinate approvals as required.
Associate's degree or equivalent in experience
4 years progressive secretarial/administrative support experience with demonstrated development of skills on-the-job
Education and Experience Preferred:Strong organizational and multitasking skills with exceptional attention to detail.
Ability to manage multiple priorities while providing outstanding customer service.
Excellent verbal and written communication skills.
Experience coordinating office operations, facilities activities, workplace services, or administrative support in a professional environment.
Proficiency with Microsoft Office products and virtual collaboration tools.
