Please note: This is a part-time role onsite five days a week in our London office. We can offer either 25 or 30 hours a week, 5-6 hours per day, based on preference.

The Opportunity:

As the Office Manager in our central London office, you’ll be starting from scratch with a brand-new space, shaping everything from the ground up. From organizing events to managing supplies and creating an amazing office vibe, you’ll be at the heart of it all. You’ll work with a diverse and dynamic globally distributed team with teammates located in the US and Europe. Ready to build something great? Let’s make it happen, together!


Your Mission:

Office Management:

  • Act as the point of contact for internal and external communications, including office management related tickets through Jira
  • Visitor management, welcome new employees, and code entrance area keys
  • Checking the office for aesthetic condition and cleanliness 
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Monitor and approve office supply acquisitions and maintenance expenditures and manage ordering/purchasing requests
  • Coordinate with building management and external vendors for maintenance and repairs
  • Assist in budget preparation in collaboration with the finance department 
  • Travel management 
  • Communication and negotiation with service contributors
  • Develop and implement office policies and procedures
  • General cross-site collaboration and support of other Office Managers
  • Support and organize small office events and catering

IT Support:

  • Provide first-level IT support to office staff
  • Google Meet support
  • Hardware lifecycle management
  • Employee lifecycle management
    • On & Off-boarding
  • Handle on-site network tasks including monitoring

What you need to succeed:

  • 1-2 years of experience in administrative roles, such as an office assistant, receptionist, administrative coordinator, hotel industry, event management, customer service, facilities assistant, personal assistant, or something similar
  • Good communication for interacting with staff, vendors, and visitors
  • Experience managing multiple tasks and deadlines, the ability to prioritize work and handle interruptions, and ability to adapt
  • Experience coordinating small events or meetings, such as team gatherings, internal office events, or client meetings
  • Strong interpersonal skills, patience, and problem-solving abilities
  • Ability to handle unexpected situations, such as technical issues, urgent requests, or last-minute event planning. Office Manager needs to be adaptable and resourceful in finding solutions

Nice to have:

  • Familiarity with common office technology (printers, phones, video conferencing tools) and software (Google Workspace, etc.).
