Responsibilities include but are not limited to the following:
  • Represent the face of the company, greeting guests, ensuring a professional and customer focused demeanor is presented to all.

  • Provide support to theSLT with customer onsite visits.

  • Manage incoming office communications, including answering and directing phone calls through Microsoft Teams.

  • Support internal and external meetings, including employee Summer & Christmas parties and sports & social events.

  • Support ad hoc travel enquiries for employees.

  • Vendor management for the office including couriers, cleaning staff, mobile phone providers and other service providers.

  • Ensure office facilities, meeting rooms, and kitchen areas are fully stocked, organised, and maintained to a high standard, while carrying out occasional local errands as required.

  • Manage office facilities and coordinate maintenance activities, ensuring the workplace environment remains safe, functional, and presentable.

  • Support the Health & Safety Committee, monitoring workplace & facilities requirements.

  • Collaborate with the Finance team to including facilities PO’s & credit card reconciliation on Concur.

  • Support fleet management and administration duties for the company fleet cars.

  • Partner with HR to support employee engagement and internal communications through company platforms and communication channels.

  • Provide flexible administrative support and undertake additional ad hoc duties as required to support business operations.

  • At least 4 years of experience as an office administrator and assistant to the executive management team within a busy organisation

  • Strong management and organisational skills with the ability to manage multiple priorities at once and take on new challenges.

  • Must be a problem solver with strong attention to detail.

  • Flexible, adaptable strategic thinker with trustworthy character.

  • Substantial experience in a fast-paced, dynamic environment.

  • Strong interpersonal skills, together with experience in interacting with all levels and

  • departments within a company

  • Exceptional written and verbal communication skills.

  • Must be a self-starter with excellent interpersonal and communication skills with a talent for customer service and team building

Skills Required

  • Minimum 4 years experience as an office administrator and assistant to executive management within a busy organisation
  • Experience managing office facilities, meeting rooms, kitchen areas, vendors, couriers, and cleaning staff
  • Experience using Microsoft Teams for communications and call handling
  • Experience using Concur for facilities POs and credit card reconciliation
  • Experience supporting executive leadership and customer onsite visits
  • Strong management and organisational skills with ability to manage multiple priorities
  • Proven problem-solving ability and strong attention to detail
  • Exceptional written and verbal communication and interpersonal skills
