Role Overview
The Office Manager supports the daily administrative and operational functions of the HomePlus program, ensuring the efficient management of program records, financial processes, office operations, and compliance requirements.
Key Responsibilities
- Provide administrative support to the Program Director and Residence Managers.
- Manage program inventory and order office and program supplies.
- Coordinate furniture purchases for Bronx program apartments.
- Process monthly rent check submissions and CAB payments for tenants.
- Maintain and update records within the YARDI system.
- Create, update, and maintain program forms and administrative documents.
- Maintain tenant files, apartment records, and sublease documentation.
- Prepare required internal and external monthly reports.
- Process invoices, check requests, and other financial documentation.
- Perform other related duties as assigned.
Required Qualifications
- Strong computer, written, and verbal communication skills.
- Excellent organizational, time-management, and administrative skills with strong attention to detail.
- Ability to work independently, prioritize multiple tasks, and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office, including Word and Excel, is required.
- Ability to maintain confidentiality, exercise sound judgment, and interact professionally with staff, clients, and external partners.
Preferred Qualifications
- BA preferred. Bilingual in Spanish preferred
Working Conditions
Primarily office-based with frequent use of computers and standard office equipment. The position works closely with staff, tenants, and community partners in a supportive housing environment serving formerly homeless individuals, including those with mental health and substance use challenges. Occasional travel between program locations may be required. The ability to manage multiple priorities and respond professionally to sensitive situations is essential.
Schedule
Full-time, 37.5 hours per week
Monday - Friday 8:30am - 5:00pm
