The Role

Office  Manager

Position Scope:

We are an asset-based third-party logistics company that offers choice, capacity and coverage for your entire supply chain across North America. Fastfrate is one of a handful of trucking companies that have a Canada-wide network. Our facilities span from coast to coast with terminals in every major city in Canada. We are looking for individuals that would like to join a fast paced, professional, growing environment. You will oversee and facilitate the supply chain operations of our company. You will be the one to coordinate personnel and process to achieve the effective distribution of goods. The goal is to ensure the smooth operations of a variety of channels aiming for maximum efficiency.

Responsibilities of Logistics Coordinator:

  • Coordinating and monitoring customer and carrier onboarding process
  • Completing all SOPS and process documents (Customer SOPS, carrier SOPS, onboarding documents, process documents)
  • Ensuring all carriers are compliant federally and provincially, as well as compliant with company standards
  • Provide leadership by establishing clear expectations and demonstrating high standards of work practices and safety conscious behavior
  • Supervision of all staff under your direct or indirect control
  • Ensure all resources are utilized efficiently
  • Be available after hours to assist with resolving issues
  • Liaise with payable and receivable team on invoice resolution and outstanding carrier payables
  • Liaise with sales team where escalation is needed to resolve outstanding financials
  • Liaise with claims team to ensure quick and efficient resolution of claims
  • Create and distribute reports for senior team
  • Manage adjustments on a timely basis
  • Ensure all contract rates are uploaded and maintained in TMS
  • Ensure TMS contains current and complete data
  • Ensure closure of all orders in the TMS system
  • Preform work with a sense of urgency and attention to detail

Qualifications:

  • Minimum 2 years logistics or dispatch experience in the transportation industry
  • Minimum 2 years in a management or supervisory role
  • Experience in all modes of transportation within North America. Rail, road, air, ground expedites
  • Ability to make quick decisions
  • Strong attention to details
  • Ability to manage time effectively and multi-task
  • Effective teamwork skills
  • Ability to work under pressure and proactively implement contingency plans
  • A high degree of initiative
  • Conflict management
  • Ability to effectively handle multiple conflicting priorities
  • Strong communication, customer service and computer skills
  • Ability to build rapport with both carriers and customers
