We are seeking a proactive, reliable Contract Office Manager to oversee the daily administration and operations of our San Francisco office. The ideal candidate will ensure a smooth, welcoming, and compliant workplace, support cross-functional teams, and manage facilities and administrative tasks within a defined contract period.

What You'll Be Building

Office Operations and Facilities:

  • Manage front desk operations, mail handling, shipping/receiving, supply procurement, and general office maintenance.
  • Oversee vendor relationships, service contracts, facilities repairs, and coordinate with building management as needed.
  • Maintain office equipment (copiers, printers, IT peripherals) and coordinate maintenance/repairs.
  • Enforce office policies, safety procedures, and ensure a clean, organized workspace.

Administrative Support

  • Coordinate calendars, meeting rooms, and travel arrangements for staff and executives.
  • Onsite candidate/client welcome: greet candidates and guests by name, guide to interview or conference room and ensure smooth, inclusive flow
  • Plan and execute company events, onboarding sessions, and team-building activities as needed.
  • Prepare, file, and organize documents; maintain digital and physical filing systems.
  • HR & People Operations Support (as applicable to contract)
  • Assist with onboarding/offboarding processes and orientation for contractors or temporary staff.
  • Maintain contact lists, directories, and org charts (as applicable).
  • Track attendance and leave requests in coordination with HR, if applicable to contractors.

Communication & Culture

  • Serve as a central point of contact for internal communications and notices.
  • Support a positive, inclusive, and professional office culture.

Financial & Administrative Tasks

  • Assist with basic budgeting, expense tracking, and approval workflows; process invoices and reimbursements related to the office.
  • Manage petty cash and procurement card usage; ensure proper coding and approvals.
  • Support procurement and vendor onboarding; maintain approved vendor list and pricing.

Compliance & Security

  • Ensure compliance with company policies, data privacy, safety, and security procedures.
  • Maintain visitor management and access control in coordination with facilities.
  • Data & Reporting
  • Generate basic reports on office metrics (expenses, space utilization, headcount) as needed.
  • Maintain accurate records and audit-ready documentation.

What You’ll Need to Succeed

  • Bachelor’s degree or equivalent professional experience preferred.
  • 5+ years of office management/operations experience; industry experience may be specified.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication.
  • Proficiency with Microsoft Office, Slack, Notion and familiarity with office equipment.
  • Basic understanding of facilities management and vendor management.
  • Financial acumen for expense management and basic bookkeeping.
  • Problem-solving mindset with a proactive, service-oriented approach.
  • Ability to work independently and collaborate across teams in a contract capacity.

Bonus Points For

  • Onboarding/offboarding support experience, particularly for contractors or temporary staff.
  • Experience with project management tools (e.g., Asana, Trello) and IT basics (peripherals, accounts onboarding).
  • Event planning experience (meetings, trainings, celebrations) within a contract role.
  • Knowledge of safety regulations and emergency procedures.
  • Positive, diplomatic, client-focused leadership style.

Compensation

We expect the base salary for this role to fall between $40 - $45 per hour. The final offer will reflect your unique background, expertise, and impact.
