The role
Raydar is recruiting for this role on behalf of our client. This hybrid position pairs hands-on oversight of the workplace with direct administrative support for the most senior executive. Roughly 60% of the work is executive support and 40% is keeping the office running, with a strong emphasis on discretion and reliability.
What you'll do
- Run daily office operations and manage vendor relationships.
- Oversee supplies, facilities, security and maintenance, and help shape the workplace experience.
- Coordinate logistics for new hires and organize office events.
- Manage the CEO's calendar and meeting schedule.
- Arrange domestic and international travel and detailed itineraries.
- Screen correspondence and prioritize incoming communications.
- Prepare agendas, presentations and meeting materials, and record minutes and action items.
- Process expenses and approvals.
- Support Board and executive leadership meetings.
- Handle confidential information with discretion.
- Partner with teams across the business on strategic initiatives.
- Maintain filing systems and executive records.
- Host visitors and coordinate executive hospitality.
- Take on other duties as assigned.
Requirements
What we're looking for
- Prior experience as an assistant to senior-most executives.
- Wide-ranging administrative background, including managing projects, organizing itineraries and diaries, handling email and keeping minutes.
- Experience in a high-growth technology business, or in other fast-moving roles where you covered many responsibilities.
- Willingness to respond outside regular hours when something urgent comes up.
- Bachelor's degree.
- Working knowledge of Microsoft 365, Google Workspace, Slack and Zoom.
- Strong organization and time management, comfort balancing competing priorities, sound judgment with sensitive information, and clear written and spoken communication.
