Job Summary
ZOLL is looking for an Office Manager and Contract Admin Support to join the Finance team in the Broomfield office.
Essential Functions

  • Greet visitors both in the lobby and over the phone. Give an excellent "first impression" of ZOLL to all visitors and guests.

  • Ensure that all incoming calls are appropriately routed, and that visitors and guests are treated courteously and professionally.

  • Maintaining a clean office space in community spaces such as kitchens, lobby area, conference rooms, etc.

  • Responsible for ensuring that the company's phone switch has the appropriate greeting for normal business, holidays, and business closure days.

  • Responsible for working with property management contacts to resolve facilities issues such as heating/cooling, lighting, elevator access, etc.

  • Maintain office vendor relationships to include kitchen supplies, vending machines, and office supply vendors.

  • Responsible for maintaining inventory on office supplies and kitchen supplies.

  • Cleaning and ensuring proper functionality of ice and coffee machines.

  • Responsible for coordination of incoming/outgoing shipping & receiving.

  • Order business cards, name plates, and wall holders for all employees.

  • Ability to follow detailed processes and procedures.

  • Utilize variety of software programs.

  • Issue security badges and track employee activity for security purposes.

  • Assist departmental managers in making catering arrangements.

  • Utilize Certify to track and procure credit card transactions for the department.

  • Perform the duty of Chief Fire Warden for the company in conjunction with property management.

  • Create and distribute Years of Service cards to employees hitting milestones in the company.

  • Act as a front-line ZOLL representative to Company employees.

  • Comply with all policies and standards.

  • Any other job responsibilities as assigned by management and subject to modification.


Required/Preferred Education and Experience

  • 1-3+ years of experience in a position with a high level of visibility and accountability involving customer contact and support and managing multiple simultaneous priorities

  • Professional experience maintaining the confidentiality of sensitive information. required

  • Experience working with and maintaining SharePoint

  • Experience using expense reporting systems such as Certify, preferred


Knowledge, Skills and Abilities

  • Highly reliable and dependable; particularly as it relates to attendance and punctuality.

  • Exceptional organizational and time management skills.

  • Excellent written and verbal communication skills.

  • Proficient in MS Office Suite; strong Excel skills

  • Proven ability to function efficiently in an interrupt-driven environment.

  • Demonstrated ability to set professional boundaries with colleagues and co-workers.

  • Ability to stay focused in a very high-traffic area.

  • Superior customer service skills.

Hourly wage range $21.00 - $26.00. Final compensation will be determined by various factors such as a candidate's relevant work experience, skills, certifications, and location.
