About the Role

The Office Operations Manager is responsible for ensuring the office at 205 Hudson Street runs smoothly, efficiently, and with a high standard of employee experience. This role oversees day-to-day office operations, facilities, vendors, inventory, and administrative processes - acting as the central point of coordination for a well-run workplace. 

The ideal candidate is proactive, highly organized, service-oriented, and thrives in a fast-paced environment. You’ll anticipate needs before they arise, create operational consistency, and continuously improve the workplace experience. 

Responsibilities
  • Office Operations & Facilities 
    • Oversee daily office operations to ensure a safe, organized, and welcoming environment 
    • Manage office upkeep, repairs, maintenance requests, and facility-related issues 
    • Maintain office standards including cleanliness, layout, supplies, and general readiness 
    • Coordinate office moves, seating plans, and workspace changes as needed 
  • Vendor & Service Management 
    • Manage relationships with office vendors (cleaning, building management, IT support, deliveries, security, etc.) 
    • Arrange courier and messenger services to support agent and transaction needs 
    • Source, negotiate, and coordinate vendor contracts and service agreements as needed, and with appropriate approvals 
    • Ensure vendor performance meets expectations and service level standards 
  • Inventory & Supplies 
    • Own office inventory including pantry, supplies, equipment, and branded materials 
    • Track stock levels and reorder supplies in a timely, cost-effective manner 
    • Maintain organized storage systems and ordering processes 
  • Employee & Agent Experience 
    • Ensure a high-quality office experience for employees, Agents, and visitors 
    • Serve as a proactive, solutions-oriented point of contact for office requests and agent support needs 
    • Assist agents with administrative functions such as: 
    • Entering listings into internal systems 
    • Preparing documents and presentation materials 
    • Supporting deal coordination tasks 
    • Partner with People/HR to support engagement initiatives and office-based events 
    • Support onboarding logistics (desk setup, badges/keys, supplies, welcome experience)  
  • Transaction & Operational Support 
    • Provide operational assistance in closing out deals and supporting transaction workflows 
    • Track and monitor funds being received in coordination with Finance and deal teams 
    • Support general administrative needs including mail distribution, shipping/receiving, scheduling, and documentation 
    • Develop and refine office systems to improve workflow, consistency, and efficiency 
  • Budget & Reporting 
    • Manage office operations budget including monthly expenses and vendor invoices with Finance 
    • Monitor spending, identify cost-saving opportunities, and ensure budget alignment 
    • Maintain organized records of contracts, invoices, and key office documentation

Qualifications
  • 3+ years of experience in office management, operations, workplace experience, or administrative leadership 
  • Strong vendor management and facilities coordination experience 
  • Proven ability to build processes and manage multiple priorities simultaneously 
  • Proficiency with Google Workspace / Microsoft Office and basic office systems/tools 
  • Available to work on-site at 205 Hudson Street 5 days per week

Compensation

Actual compensation within the pay range listed below will be decided based on factors including, but not limited to, skills, prior relevant experience, and specific work location.

The national base pay range for this position within the United States is $70,000.00 - $80,000 USD.

Your Location

This position is required for on-site, 5 days per week. The role may include occasional work at a SERHANT. office or attendance at offsites, as agreed to with your manager.
