Key Responsibilities:
- Managing and coordinating internal office work and projects, ensuring that day-to-day office work runs smoothly
- Process optimization
- First point of contact for customers, guests, colleagues and suppliers both at the switchboard, at reception and during personal visits
- Independent collection of offers and placing of orders in the area of facility management
- Translation and creation of marketing material such as brochures or presentations
- Organization, preparation and follow-up of appointments for management and departments with direct customer contact
- Ensuring a smooth daily routine through independent office organization such as ordering office supplies, coordinating external service providers or hotel reservations
- Support of the senior management in all organizational and administrative matters such as organization of meetings, taking notes etc.
- Travel organization and accounting
- General administrative activities
- Support for the finance department, e.g. by passing on invoices
- Research activities organizing various projects and events
- Support for creating SOPs in the field of travel management as well as introducing new software and processes
- Organizing catering for customer and/or guest meetings
- Overseeing the general reception email account, including forwarding mail
Position Qualifications (Education, Skills, Experience):
- Completed commercial apprenticeship or comparable training
- Relevant professional experience in a comparable function, ideally from a multinational company
- Very good knowledge of spoken and written English
- Very good knowledge of MS Office products and digital communication media
- Teamplayer
- Good German and English skills
