Summary

The Office & Human Resources Support Associate will be responsible for support of various administrative tasks including office management and supporting the local leadership team for various tasks. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.
The individual will ensure smooth running of our company’s offices and contributes to driving sustainable growth. This position will also work with our human resources team to manage people data, support organizational transactions, and drive other special projects.

General Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Manage facilities issues and coordinate items with Landlord.
  • Coordinate the chemical disposal, recycling, and other services of the facilities.
  • Track stock of office supplies and place orders as needed.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Manage visitor check in, supplier and customer visit agendas, etc.
  • Support employees with Badge access creation and locker assignments
  • Assist with travel arrangements/appointments, meeting room administration and Wi-Fi codes.
  • Participate in site EH&S team and report required metrics on required cadence in compliance with OSHA and corporate governance.
  • Coordinate administration of employee required training.
  • Assist colleagues whenever necessary.
  • Planning and organizing meetings and special events, including scheduling, sending reminders, and organizing catering when necessary.
  • Coordinates, schedules, and organizes candidates for interviews and other appointments.
  • Welcomes and escorts visitors for the leadership team.
  • Uses various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
  • Partners with other administrative staff across the organization and executive leadership team for mutual success.
  • Strict compliance with quality, occupational safety, and environmental regulations.
  • Implementation of the instructions of the quality / environmental management representative and the occupational safety specialist.

HR Support Responsibilities

  • Under the direction of the Business Unit Global HR Director, this position will work with our human resources team to manage people data, support organizational transactions, and drive other special projects.
  • Complete onboarding activities and orientation for new hires, as well as offboarding.
  • Provide support and guidance to the hourly team
  • Organize, maintain, and file employee records as needed.
  • Supports HR with various confidential organizational or special projects.
  • Update community service hours tracking log for specific site.
  • Maintain confidentiality with all HR-related tasks.

Required Experience, Education, Skills, Training and Competencies

  • High school diploma: BSc/BA in office administration or relevant field is preferred.
  • Prior experience working within an HR or Payroll team, a plus.
  • Strong proficiency in Microsoft Office applications.
  • Must be a self-starter, professional demeanor, and outgoing style with excellent customer service skills.
  • Ability to take ownership with ability to work effectively independently and with teams.
  • Excellent organizational skills with attention to detail
  • Reliable, punctual, and proactive
  • Excellent Planning & Organizing Skills.
  • Excellent Communication/Interpersonal skills.
