About the role
We are looking for an experienced and highly motivated Office Manager to join our team based in our Athens, Greece office. We are seeking a proactive and highly organized Operations Assistant to support our operations team while also overseeing day-to-day office management. This hybrid role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes ownership of both operational processes and workplace experience.
As an Office & Operations Coordinator, you will be the primary point of contact for our Athens office, ensuring that our physical workspace and digital administration run with precision. This role is a unique blend of office management and operations, designed for someone who enjoys maintaining a professional environment while also diving into the backend of a modern digital assets platform.
Key Responsibilities:
Operations Support
- Facilitate smooth daily operations through effective support and task coordination across teams
- Maintain and update internal systems, databases, and reports
- Support project coordination, timelines, and task tracking
- Prepare operational documents, reports, and presentations
- Liaise with internal teams and external partners to ensure smooth workflows
- Monitor inventory, supplies, or operational resources as needed
- Identify process improvements and support implementation
Office Management
- Oversee daily office operations to ensure a smooth, efficient workplace
- Manage office supplies, vendors, and service providers
- Coordinate maintenance, repairs, and office-related logistics
- Organize meetings, events, and internal activities
- Handle incoming correspondence, calls, and general inquiries
- Support onboarding of new employees (workspace setup, materials, etc.)
- Maintain a welcoming and professional office environment
Requirements:
- Experience: 1–3 years in an administrative, operations, or customer-facing role within a professional environment.
- Tech Proficiency: Advanced knowledge of Google Workspace (mail, sheets, calendar, drive).
- Hands-on experience with the HubSpot (CRM) system will be a plus.
- Languages: Professional fluency in English & Greek (written and verbal) and German speakers is an advantage.
- Attributes: High attention to detail, a proactive "problem-solver" mindset, and the ability to maintain confidentiality regarding sensitive digital asset data.
- Adaptability: Comfort with shifting between administrative hospitality and backend tasks.
