Job Description

We are looking for an Office Coordinator for a temporary replacement (approx. 1.5 year). The person in this role will be responsible for ensuring the smooth operation of our office and coordinating the team’s work.

Daily Responsibilities

  • Coordinating the team’s work and overseeing task completion.
  • Managing day-to-day office matters and ensuring efficient operations.
  • Processing invoices, handling purchases, and managing office-related expenses.
  • Overseeing the work of external service providers (e.g., cleaning, technical support).
  • Maintaining the appearance and functionality of the office campus.
  • Coordinating and ensuring high-quality workplace standards across all offices in Poland.
  • Collaborating with suppliers and external partners.
  • Organizing and streamlining office processes.
  • Assisting in the organization and execution of office events for employees, partners, and guests.
  • Building a friendly atmosphere and supporting employees in their daily work.

Qualifications

  • Proven experience in managing a functional, attractive, and well-designed workplace: facility management, workplace services, and housekeeping team oversight.
  • Proficiency in JIRA, Workflow systems, and MS Office.
  • Ability to multitask, prioritize effectively, and meet short-term deadlines.
  • Strategic approach to planning and problem-solving.
  • Strong calendar management skills, including identifying and resolving conflicts. including conflict identification and resolution.
  • Experience in coordinating a team (experience as an Office Manager, Team Leader, or in a similar role is a plus).
  • Strong verbal and communication skills.
  • Fluent Polish and confident command of English (min. B2 level).
