Let’s start with the role
We are looking for an Office Coordinator for our Sofia office - a key role at the heart of our daily operations., You will ensure smooth office functions while supporting our business activities effectively.
As an Office Coordinator you will:
- Manage all reception duties, providing company information and directing requests;
- Be involved in the development, coordination, and implementation of corporate events, well-being activities and conferences;
- Assist colleagues with travel and accommodation arrangements;
- Handle courier and postal services for employees;
- Align and collaborate with the international Facilities team and respective vendors;
- Maintain files and records with effective filing systems;
- Support teams with various administrative tasks (preparing letters, presentations and reports, etc.);
- Implement and maintain procedures/office administrative systems;
- Monitor office expenditures and handle all external parties' contracts;
- Track office supplies inventory and place orders;
- Assist with vendor relationship management;
- Ensure health and safety policies are up to date;
- Coordinate employee and facility health & safety (H&S) requirements;
- Organize and coordinate annual Medical check-ups.
What you’ll bring:
- High school or university degree;
- 2+ years of relevant experience in administrative or office coordination roles;
- PC literate - good knowledge of Office;
- Excellent communicational and organizational skills;
- Ability to multitask and coordinate multiple responsibilities effectively;
- Great attention to detail;
- Can-do attitude and ability to get things done;
- Service- and people-oriented mindset;
- Fluency in Business English, both written & spoken.
