About the Role:
The Facilities Team is committed to keeping the PitchBook office in prime condition and contributing to office culture. We are seeking a knowledgeable Office Coordinator to ensure an optimal working environment in our facility. The position of an Office Coordinator is responsible for ensuring the optimal working environment for all of the organization’s staff members by providing full maintenance services of a given facility as well as promoting safety conditions. A professional in this role usually maintains office equipment, as well as the physical space for the company they are employed by. Office Coordinators also resolve building problems and serve as a liaison between company employees and outside contractors called in to fix those issues.
Primary Job Responsibilities:
- Provide back office administrative and operations support
- Perform minor scheduled and reactive maintenance on office equipment and appliances
- Lift up to 60 pounds as a regular function of the job
- Perform morning and afternoon “rounds” to keep common areas tidy
- Receive and send mail and packages
- Inventory and stock office and kitchen supplies
- Manage storage area use and organization
- Coordinate with IT for new hire desk set up
- Provide support for internal event (includes moving furniture and event set up/break down)
- Work with Property Management team to resolve workspace issues
- Field and respond to employee requests
- Support the vision and values of the company through role modeling and encouraging desired behaviors
- Participate in various company initiatives and projects as requested
Skills and Qualifications:
- Bachelor’s degree preferred
- 1+ years of previous experience in Office Administration or Customer Service preferred
- Proactive and solution oriented – anticipates needs
- Ability to take direction and work independently on assigned tasks
- A “no job is too big or too small” attitude
- Strong organisational skills including effective time management and prioritisation of duties
- Ability to remain flexible in a constantly changing environment
- Experience with Envoy, Slack, and Zendesk a plus
- Proficiency with the Microsoft Office suite including in-depth knowledge of Outlook, Word, and Excel with the ability to pick up new systems and software easily

Working Conditions:
We believe our business and our culture are strongest when we work together in person. We also know that it’s helpful to have some flexibility to work remotely. Most roles work in the office 3+ days/week, and some are expected to work in the office 4-5 days/week. The current expectation for this role is that you are working in the office 5 days/week and that you are in the office full-time during the training period, for which the length varies by role. During an initial phone screen, the team will discuss expectations for this specific position.
The job conditions for this position are in a standard office setting. Employees in this position use PC and phone on an on-going basis throughout the day. Limited corporate travel may be required to remote offices or other business meetings and events.
