Fisher Phillips, a premier international labor and employment law firm, is seeking an Office Coordinator to join our team. In this essential role, you will help ensure the smooth operation of our services, directly supporting our attorneys in delivering exceptional client service and upholding our commitment to excellence.

Position Summary

The Office Coordinator manages the office to ensure it aligns with the business objectives of the firm. This position works collaboratively with others in a team-oriented environment.

Primary Responsibilities

  • Serve as the onsite liaison between the firm and building management, handling all requests for maintenance and other tasks as needed.
  • Oversee the dynamic seating process using OfficeSpace software and ensure reserved offices are ready each day for occupation.
  • Sort, log, process and deliver incoming mail and packages.
  • Handle distribution of intra-office mail.
  • Process outgoing mail, including FedEx and UPS.
  • Assist in setup of offices and work areas for all employees.
  • Oversee reservations system for conference rooms including setup and breakdown for meetings.
  • Order, maintain and distribute inventory of all office supplies and kitchen supplies.
  • Regularly assist with maintaining a clean and organized office including conference rooms, kitchens, copy rooms and dynamic seating offices.
  • Greet clients and visitors.
  • Display good judgment in handling confidential information.
  • Portray a professional image through appropriate grooming and business attire.
  • Properly prioritizes work assignments and handle multiple assignments and/or deadlines while maintaining a professional demeanor and timely seek assistance when needed.
  • Offer assistance to others when needed.
  • Perform other tasks as assigned

  • Dependability: Follow instructions, complete tasks timely, commit to the hours necessary to complete assignments and be able to work independently

  • Teamwork: Contribute to building a positive team spirit and support everyone’s efforts to succeed
  • Technical Skills: Possess strong PC skills, ability to use phone system, voicemail system, copier, scanner, and printer, including software knowledge of Microsoft Office, document management systems and scanning functions.
  • Must be physically able to lift boxes and packages up to 30 pounds

The hourly rate range for this position is $31.73 - $34.61. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
