Position Overview

The Office Coordinator is responsible for supporting daily office operations with a range of administrative duties, ensuring the office runs smoothly and efficiently. It is also important to work well in a team, understanding the needs of others to support colleagues and projects the company is working on. The position will report to the Executive Assistant to the CHRO, GC and CFO and is based in the CSWI corporate office in Dallas, Texas. Normal working hours are 8:00am to 5:00pm, but flexibility is helpful for occasional events.

 Responsibilities

  • Serve as the primary point of contact for front desk operations, ensuring the reception area, kitchen, and shared office spaces remain professional, tidy, and well-maintained.
  • Welcome guests and team members, providing a high-quality arrival experience and managing visitor registration and tracking.
  • Coordinate meeting space logistics, including scheduling, room preparation, and overall conference room management.
  • Oversee procurement and replenishment of workplace and breakroom supplies to support daily operations.
  • Initiate and track facilities service requests to address maintenance and repair needs in a timely manner.
  • Partner with external service providers and building contacts to coordinate services, appointments, and ongoing vendor relationships.
  • Manage incoming and outgoing mail, packages, and shipping needs.
  • Assist with onboarding logistics by preparing workstations, coordinating equipment distribution, and collaborating with Human Resources to ensure a seamless first-day experience.
  • Liaise with property management to manage building access, credentials, and compliance with safety regulations.
  • Assist in planning and executing internal events and company initiatives.
  • Promote clear, consistent communication across teams to enhance office operations.
  • Perform additional responsibilities as business needs evolve.

Experience and Requirements

  • College degree preferred or equivalent combination of experience, skills training and education considered.
  • 2+ years of administrative, facilities, or office experience, preference on exposure to a busy environment.
  • Self-motivated: always looking for ways to do something better; forward-thinking planner.
  • Attention to detail is an absolute must.
  • Ability to move about, bend, squat, and lift up to 30 pounds.
  • Strong written and verbal communication skills.
  • Ability to work on multiple tasks simultaneously.
  • Excellent organization and time management skills.
  • Personable, positive attitude.
  • Strong work ethic, with flexibility to support requests outside of considered job scope.
  • Proficient with Microsoft Office applications.
