The Office Coordinator plays a critical role in ensuring the smooth daily functioning of the Network Office. Reporting to the Manager of Development, Communications, External Affairs & Special Projects, the Office Coordinator provides administrative, logistical, and operational support to the Talent, Operations, and Schools teams in the Network Office. This role serves as a key point of contact for visitors, staff, and external partners while helping coordinate meetings, events, and systems in the network office.
Hours: 8:00am – 4:00pm, Monday – Friday
ResponsibilitiesNetwork Office OperationsServe as the primary receptionist for the Network Office, including answering phones, greeting visitors, and managing incoming mail and deliveries
Help maintain a welcoming, organized, and professional office environment
Coordinate office supply ordering and inventory management.
Serve as the primary point of contact for vendors, coordinating troubleshooting and resolution of service, equipment, and system issues for the Network Office.
Support invoice processing, purchase orders, expense tracking and purchase reconciliation for Network Office.
Process and submit reimbursements for Chiefs
Support facilities-related requests and coordination
Assist with scheduling shared conference rooms and office spaces
Maintain filing systems and organizational records while ensuring confidentiality
Translate all written materials that come from the desk of the office of the CEO.
Provide administrative and logistical support to the Talent, Operations, and Schools teams
Coordinate calendars, meetings, travel arrangements, and cross-functional logistics as needed
Support with coordinating conference room space and navigating competing needs.
Assist with data entry, document preparation, and maintaining internal databases and systems
Coordinate logistics for network-wide meetings, celebrations, and events
Support food orders, room setup, supplies, and technology needs for meetings and trainings
Assist with special projects and other duties as assigned
Knowledge, Skills, and Abilities
Excellent verbal and written communication skills
Meticulous attention to detail
Ability to manage several projects and demands simultaneously
Strong technological proficiency in Microsoft Office; comfortable using a Mac and learning new technologies
Qualifications and Experience
High School Diploma required; some college preferred
Experience working in a school setting preferred
Demonstrated ability to work well in fast-paced environment, with changing responsibilities
Salary and benefits
This is a full-time position. Competitive hourly wage, starting at $22/hour. Benefits include medical/dental/vision coverage and paid sick and vacation time off.
