As an Office Assistant, you will play a key role in maintaining the tidiness, organisation, and smooth operation of Commercial House. Your varied role involves a mix of practical tasks and opportunities to support the wider team. You will be responsible for ensuring that the office runs seamlessly while contributing to a positive and professional atmosphere.
This is a part-time role of 12 –18 hours per week, worked over 2 – 3 days. Working hours are 9:00am to 3:30pm, inclusive of a 30-minute lunch break. The working pattern will be either Monday and Thursday, or Monday, Thursday and Friday for a three-day schedule.
Your responsibilities as an Office Assistant will be:
- Ensure all areas of the office, communal spaces, and workstations, are tidy, organised, and ready for use.
- Ensure all meeting rooms are fully set up and cleared after use, with all materials and equipment tidied away and the space prepared for the next meeting.
- Coordinate with catering services when required, ensuring food and drinks are delivered and set up in time for the meeting.
- Proactively monitor bookings to ensure meeting room schedules run smoothly and resolve any potential clashes or issues.
- Monitor and restock supplies, such as stationery, kitchen essentials, and cleaning materials, ensuring availability at all times.
- Maintain the cleanliness and tidiness of kitchen areas, ensuring coffee machines, dishwashers, and other appliances are regularly cleaned and restocked.
- Wipe down high traffic areas to help stop the spread of illness and viruses.
- Ensure printers are stocked with paper and report any issues to helpdesk.
- Occasionally greet clients and offer refreshments to clients and board members during extended meetings.
- Manage the cleaning robot, ensuring the water is refreshed regularly and that a cleaning rota is maintained.
- Provide ad hoc support to the People & Culture team and the PA to the Managing Director as needed.
About you:
- A proactive, can-do attitude and the ability to work independently.
- Excellent organisational and multitasking skills with strong attention to detail.
- Flexibility to adapt to a variety of tasks and changing priorities.
- Dependability and a commitment to maintaining high standards of tidiness and efficiency.
- Needs to have a friendly and approachable manner.
- Previous experience within a housekeeping and/or customer service role is desirable, but not essential as training will be provided.
