Job Description

In the words of Dale Carnegie, "A person's name is to that person the sweetest and most important sound in any language." As the face of the firm, it's vital to remember our clients' names and faces while maintaining a positive, welcoming demeanor—both in person and over the phone. The Office Assistant plays a crucial role in ensuring the firm's smooth and efficient operation by providing administrative support. Success in this position depends on anticipating the needs of both clients and colleagues.

Your responsibilities will include maintaining office supplies, managing communications, scheduling property maintenance, leading internal communications and announcements, and coordinating firm events. You'll identify opportunities for efficiency improvements across the team and provide value to our clients by understanding the firm's diverse departments and roles. You'll work closely with partners, managers, and staff across various departments including payroll, financial services, IT, marketing, and sales.

Building strong relationships with clients and co-workers is essential. You'll gain proficiency in various software programs such as Outlook, Excel, Word, Qount, and a suite of tax programs. The ability to manage time effectively under pressure from multiple tasks and deadlines is critical to achieving the firm's goals. You must demonstrate integrity, honesty, dependability, enthusiasm, organization, and professionalism daily while upholding the firm's vision and values.

Qualifications

  • Flexibility and ability to prioritize new tasks as they arise
  • Excellent interpersonal communication skills
  • Effective time management
  • Prior customer service experience preferred
  • Tech-savvy
  • Proficient in maintaining calendars and scheduling appointments
  • Capable of understanding and following specific instructions and procedures
  • Please note: Remote work is not an option for this position due to its requirements.
