Embry-Riddle Aeronautical University (ERAU) seeks a dynamic, student-centered, and forward-thinking Office Assistant to provide visionary leadership.
The Office Assistant, in alignment with the mission, vision, and strategic priorities of Embry-Riddle Aeronautical University (ERAU) and the Division of Student Affairs, provides high-quality, student-centered customer care that support student well-being and success.
Reporting to the Operations Lead, the Office Assistant is the first point of contact for all individuals engaging with Health Services, including students, families, faculty, staff, colleagues, and vendors. This role is responsible for greeting and checking in patients, obtaining and updating medical information, scheduling appointments, verifying insurance, and responding to inquiries via phone, email, and in person, all while maintaining exceptional professionalism.
The Office Assistant also assists the Operations Lead, Director of Health Services, and colleagues as needed, and supports departmental initiatives such as events, social media posts, and tabling, ensuring a welcoming and efficient environment for everyone who connects with Health Services. The Office Assistant will provide courteous, efficient, and confidential administrative support to ensure smooth clinic operations and a positive patient experience.
This position contributes directly to student success and retention by addressing the needs of a diverse student body, including those pursuing academically rigorous and high-performing programs in aviation, aerospace, and STEM disciplines.
Primary Job Functions, Duties, or Accountabilities:
Patient reception and scheduling
- Greet patients and visitors in person and by phone
- Answer inquires and refer questions appropriately
- Place patients on the dashboard and verify completion of forms and collect health insurance information
Health Insurance Program Support and Verification
- Provide details on plan benefits, pricing, and waiver instructions
- Maintain provider lists and assist with referrals under the student plan
- Communicate referral details and assist with related questions
- Verify insurance in PyraMed, scan cards, confirm coverage
- Scan insurance checks into PyraMed and deposit into back
- Assist uninsured students
Compliance Monitoring
- Maintain and update medical information
- Monitor Campus Solutions To-Do List items and apply/remove medical holds
- Respond to compliance inquires from students, families, and staff
Administrative Support
- Handle mail, medical record requests and billing tasks
- Assist Operations Lead and Director as needed
Outreach and Engagement
- Support events, tabling, health promotion initiatives, and social media posting
Other Duties as Assigned:
- Represent the Division of Student Affairs on university-wide committees, task forces, and professional organizations.
- Support divisional events, projects, and special initiatives as needed.
- Serve as essential personnel in response to campus crisis, as designated by the Dean of Students.

Compensation
The hourly range for this role is up to $18.00. The final offer will be based on the candidate’s skills, qualifications, and experience, as well as applicable state regulations, internal equity, and business needs, and may fall outside of the stated range.
