The role will provide an important connection between site operations and Head Office, helping to ensure that adminis-trative processes are consistent, information is communicated promptly, and required documentation is complete, accu-rate, and properly maintained.

The Admin Assistant will provide and ensure efficient and professional office administration. As part of the P&O depart-ment the Admin Assistant will contribute to an employee-orientated; high-performance culture and work environment that emphasizes empowerment, equality, productivity, and alignment towards implementation of global strategies and local priorities.

What you’ll be doing

In this role, you will take ownership of analytical and reporting activities across the asset portfolio, including:

  • Employee Relations: Contribute to a fair and motivational working environment also by taking preventive action and initiative; coming up with ideas for activities, creating activity schedules and maintaining records of events held
  • Office and Admin operations: Manage correspondences, files, office equipment, office info etc; acting as a central point of contact for administrative queries between Site teams and Head Office, helping to resolve issues and ensure information flows efficiently in both directions; ensuring that Head Office receives timely and accurate information from the sites to support payroll, finance, HR, procurement, compliance, and operational processes; maintaining appropriate electronic and physical filing systems for Site-related documentation and ensuring records are kept up to date; provide IT and systems support
  • Reception management: Operate reception and receive visitors; assist and ensure that the daily operations are efficiently executed (postage courier, parking, ordering of office consumable; conduct ad hoc tasks as required
  • Office management: Assist in management office premises and infrastructure; Assist in management of third-party services and purchase of consumables; Compile & update company records

What you’ll bring

  • Education: Advanced diploma in Administration
  • Experience: At least 2+ years’ experience or relevant background from Office and organization management.
  • Experiences of working in an international matrix organization.
  • Experience of supplier management
  • IT knowledge – familiar with SharePoint and MS Office (Outlook, Word, Excel, PowerPoint)
  • Language: fluent both written and spoken in English
