Are you our new Office Administrator?

What will you do:

  • Oversee day-to-day office operations, ensuring a smooth and efficient workplace environment
  • Maintain a welcoming, safe, ergonomic, and sustainable office for employees and guests
  • Manage relationships with external vendors and service providers, including contract coordination
  • Support budget control by reviewing office-related invoices and expenses in line with internal procedures
  • Organise corporate events, team activities, and internal meetings
  • Coordinate travel arrangements and logistics for employees
  • Ensure proper documentation, filing, and record-keeping
  • Maintain office communication channels (e.g., SharePoint, Teams) and support internal communications
  • Ensure compliance with workplace safety and fire safety regulations
  • Provide daily administrative support to Management, HR, and Finance teams

What we´re looking for: 

  • Higher education (completed or in progress), preferably in Business Administration, Social Sciences, or a related field
  • At least 2 years of experience in office administration or a similar role in a corporate environment
  • Experience in managing office operations and working with external suppliers
  • Strong organisational, planning, and multitasking skills with attention to detail
  • Customer-focused mindset and a strong sense of ownership and accountability
  • Excellent communication and interpersonal skills
  • Ability to solve problems, prioritise tasks, and adapt quickly in a dynamic environment
  • Integrity and discretion when handling confidential information
  • Familiarity with workplace safety requirements (including Fire Safety) is an advantage
  • Good knowledge of MS Office (Excel, Word, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint); Experience with tools such as Jira, Confluence, Workday, or Canva is a plus
  • Fluent in Latvian and English
