The position of Office Administrator is responsible for overseeing the day-to-day administrative operations of our Home Office, ensuring smooth functionality by managing tasks like, office supplies, facility maintenance, scheduling, correspondence, requiring strong organizational skills and attention to detail to maintain efficient workflow and support company operations. This role will report to the Director of Organizational Planning but will work closely with team members in the Finance, Marketing, Operations, Recruiting, and Training departments to ensure all administrative tasks are being completed in a timely manner. The ideal candidate is well organized, has good time management, takes initiative, and works well with others.
Key Responsibilities
- Greet visitors and manage reception area
- Manage overall appearance and cleanliness of office
- Coordinate all incoming and outgoing mail and shipments
- Maintain office supplies and snacks
- Manage company collateral inventory, shipments, and storage
- Coordinate meeting room calendar and setup
- Order all meals for meetings
- Assist with planning company events
- Oversee office maintenance and repairs
- Coordinate employee engagement events
- Assist with new hire onboarding tasks
Skills, Knowledge and Expertise
- Strong organizational skills: Ability to prioritize tasks, manage multiple projects, and maintain efficient workflow
- Excellent communication skills: Effective verbal and written communication to interact with staff, clients, and vendors
