Position Summary:
As a first point of contact when arriving onsite, the Office Administrator will create a welcoming experience for guests, vendors, candidates, and employees. They will greet each person warmly and be helpful in coordinating their needs. They will manage the shared spaces and supplies for the office.
Key Responsibilities:
Front Desk & Visitor Management
- Greet and manage all visitors at the front door, ensuring a warm and professional experience
- Coordinate conference room scheduling and ensure meeting spaces are clean, stocked, and prepped with food/beverages as needed
- Order food for meetings and monthly lunch outings
Office & Facility Maintenance
- Clean and stock common areas including kitchen, lunchroom, break areas, and meeting rooms
- Maintain coffee machines
- Manage incoming/outgoing mail and package deliveries
- Act as liaison with cleaning services vendor
- Act as liaison for Medina Electric and coordinate massage therapy scheduling
Supplies & Inventory
- Manage office supplies, equipment, and mini market inventory; handle requests and vendor issues
- Order and maintain inventory for new hire swag bags, name plates, and anniversary gifts
New Hire & Onboarding Support
- Prepare and print new hire folders; clean and organize workstations
- Order necessary office equipment and supplies for new hires
Culture & Communication
- Participate in the Employee Engagement Committee
Administrative Support
- Assist with scheduling as needed for interviews and onboarding
- Assist with data entry as needed
Systems & Programs
- Manage the eVoice system
Qualifications & Requirements:
Required:
- High School Diploma or GED
- 1+ years of experience in administrative or reception work
- Working knowledge of Microsoft Office Suite
Preferred:
- Associate’s or Bachelor’s Degree
- Leadership Experience
