Under the direction of the Executive Director, the Office Administrator coordinates and supports daily administrative operations for Camp Collins. This position serves as the primary point of contact for campers, families, staff, vendors, and visitors while ensuring efficient office systems, customer service, registration support, and financial administration.

Requirements

   

Administrative Support
  • Answer phones and respond to general inquiries in a professional and timely manner. 
  • Handle daily camp email communications and correspondence. 
  • Greet and assist campers, families, staff, vendors, and visitors. 
  • Prepare and distribute U.S. mail and inter-branch mail/packages. 
  • Perform typing, filing, copying, scanning, and other clerical duties. 
  • Maintain organized office systems, records, and files. 
  • Assist in maintaining a clean, welcoming, and organized reception area and business center. 
  • Monitor office supply inventory and coordinate ordering needs. 
Registration and Family Services
  • Process and support camp registrations and participant records. 
  • Communicate with families regarding camp schedules, forms, payments, and program information. 
  • Maintain confidentiality of participant and staff information. 
  • Be knowledgeable about all Camp Collins programs and services. 
Financial and Business Operations
  • Oversee billing and accounts receivable processes. 
  • Process camp invoices and ensure bills are paid in a timely manner. 
  • Manage vendor accounts and related administrative records. 
  • Assist with payroll processing and staff administrative support as needed. 
Camp Operations Support
  • Coordinate onboarding and administrative support for camp staff. 
  • Work scheduled shifts in the Camp Store, including sales, stocking, inventory, and cleaning. 
  • Provide administrative support to the camp leadership team. 
  • Support seasonal camp operations and special events as needed. 
  • Perform other duties as assigned. 

Qualifications

  • High school diploma or GED required. 
  • Minimum one year of administrative, office support, customer service, or related experience preferred. 
  • Strong customer service and communication skills. 
  • Proficiency in Microsoft Word, Excel, Outlook, and ability to learn YMCA registration and payroll software. 
  • Ability to manage multiple tasks and priorities in a fast-paced environment. 
  • Strong organizational skills and attention to detail. 
  • Ability to work independently and collaboratively as part of a team. 
  • Positive attitude, initiative, flexibility, dependability, and problem-solving skills. 
  • Ability to maintain professionalism and confidentiality. 

Physical Requirements

  • Ability to sit or stand for extended periods of time. 
  • Ability to use a computer and standard office equipment. 
  • Ability to lift and carry up to 40 pounds. 
  • Ability to work effectively under pressure and manage concurrent tasks.

Certifications and Screening Requirements

  • Current CPR and First Aid certifications required within 30 days of employment. 
  • Successful completion of YMCA background screening. 
  • Completion of all required YMCA and youth protection trainings. 

Work Environment

This position operates in a camp office environment with frequent interaction with campers, families, staff, and community members. Schedule flexibility may be required during peak camp seasons and special events.
