Key Responsibilities:
- Own day-to-day HQ operations to ensure a high-functioning workplace that supports employee experience
- Maintain and order office supplies, equipment, and snacks
- Manage all incoming and outgoing mail and deliveries, coordinating with FedEx, USPS, and UPS
- Maintain cleanliness and organization of common areas, including kitchen upkeep, conference room tidiness, and loading/unloading the dishwashers as needed
- Manage quarterly facility maintenance orders, office cleanings, and upgrades
- Lead storage optimization, space planning, and furniture coordination in readiness for team growth, peak days, and special events
- Collaborate with Facilities & Development Team and building management team to maintain a safe, clean and comfortable workplace environment Vendor & Program Ownership
- Own snack pantry program end-to-end (sourcing, ordering, inventory)
- Serve as primary owner for external vendors and recurring workplace programs Event & Meeting Coordination
- Assist in planning and executing company events including retreats and large-group functions
- Assist in coordinating logistics for recurring leadership meetings, including catering and venue setup
- Assist with setup for monthly Full Company meetings
- Own and coordinate bi-yearly HQ headshot photoshoots Culture & Team Experience
- Create a warm, professional first impression and representation for all team members, external visitors, and HQ community
- Greet and welcome external guests and visitors arriving at HQ Ad Hoc & Project Support
- Take on special projects and administrative tasks as assigned by the Executive Administrator
- Provides support to additional executives as business needs arise
Office Facilities & Space Planning
Qualifications:
- 1+ years of experience in an Office Administrator, hospitality, or HR-related similar support role
- Proficiency in Google Workspace (Calendar, Drive, Docs, Sheets, Gmail)
- Strong organizational and communication skills with the ability to manage multiple priorities
- Proactive, solutions-oriented mindset with a strong sense of ownership
- Ability to work independently and as part of a team in a fast-paced environment
- Experience in the fitness, wellness, retail, or hospitality industry
