- Maintain and update complex Project Trackers using advanced Excel functions.
- Monitor daily labor hours, equipment logs, and material deliveries.
- Generate weekly status reports and "look-ahead" schedules for stakeholders.
- Manage the digital filing system (Procore, BIM 360, or similar) to ensure all blueprints and RFIs are the latest versions.
- Coordinate site access and badging for hundreds of subcontractors and vendors.
- Organize and track safety orientation completion for all incoming personnel.
- Manage the field office facilities, including supply procurement and vendor coordination (trailers, janitorial, IT).
- Process and track submittals, change orders, and invoices against the project budget.
- Verify certified payroll and compliance documentation for subcontractors.
- Assist in the "close-out" process, ensuring all warranties and O&M manuals are archived correctly.
- Act as the primary point of contact for the field office, managing high volumes of email and radio traffic.
- Record and distribute minutes for high-stakes OAC (Owner-Architect-Contractor) meetings.
- Experience: 2–5 years of administrative experience, preferably in Commercial Construction or heavy industrial environments.
- The Excel Specialist: You must be "strongly proficient" in Excel. We aren't just talking about data entry; you should be comfortable with:
- VLOOKUPs and XLOOKUPs for cross-referencing manifests.
- Pivot Tables for analyzing labor trends.
- Conditional Formatting for tracking expiring certifications.
- Adaptability: Ability to thrive in a fast-paced, dusty, and loud construction environment.
- Communication: Sharp written and verbal skills; you can hold your own with both a high-level site owner and a concrete foreman.
- Experience with Procore, Aconex, or Bluebeam.
- Familiarity with the specific security and safety protocols of Hyperscale Data Center environments (e.g., Google, AWS, Meta, or Microsoft standards).
- Notary Public certification is a plus.
- This is a field office position. You will be based in a construction trailer.
- Occasional walking across uneven terrain on the job site may be required.
- Standard site PPE (Hard hat, safety vest, steel-toed boots) is required when leaving the office.
- Must be able to walk, stand, stoop, twist, bend, and climb stairs or ladders for extended periods while navigating uneven, unpaved, or obstructed terrain.
- Must be able to lift, carry, push, or pull up to 50 pounds on an occasional basis.
- Must be able to drive between job sites and access all areas of an active construction zone, including raised platforms, scaffolding, and confined spaces.
- Must be able to tolerate exposure to outdoor weather conditions, dust, and construction-related noise, vibrations, and odors.
- Must be able to communicate effectively with contractors, engineers, and site personnel, and maintain situational awareness in high-activity environments.
- Personal protective equipment (PPE), including hard hats, safety vests, hearing protection, and steel-toe boots, is required.
- Must have sufficient visual acuity to read drawings, specifications, and safety signage, and to observe site activity.
