Job Summary:
The Office Administrator (for construction) is responsible for overseeing various administrative tasks within the warehouse environment to ensure smooth operations. This includes managing inventory records, coordinating shipments, communicating with suppliers and customers, and providing administrative support to warehouse staff.
- Supports new store construction, remodels, renovations, and facility improvement projects from planning through completion.Coordinates with contractors, vendors, architects, engineers, landlords, store operations, and internal departments on project requirements and timelines.
Tracks construction schedules, project milestones, inspections, punch-list items, and project closeout.
Maintains project documentation, including contracts, proposals, purchase orders, change orders, invoices, permits, drawings, warranties, and insurance records.
Assists with contractor/vendor bidding, proposal comparisons, and scope-of-work coordination.
Tracks project costs, invoices, purchase orders, and change orders and follows up on discrepancies.
Coordinates construction-related permits, inspections, utilities, equipment, fixtures, signage, refrigeration, HVAC, electrical, and plumbing work as needed.
Maintains project trackers and provides updates on project progress, budgets, outstanding issues, and deadlines.
Supports communication and issue resolution between contractors, vendors, stores, and internal teams.
Provides general administrative and project coordination support and performs other related duties as assigned.Participate in regular inspections and audits to maintain quality standards.
Qualifications:
- High school diploma or equivalent is required.
- 1+ years of experience in warehouse operations or related fields preferred.
- Bilingual in English / Mandarin or English / Spanish is preferred.
- Strong organizational skills and attention to detail.
- Familiarity with warehouse management systems and inventory control software is preferred.
- Basic computer skills, including proficiency in Microsoft Office.
- Strong communication and interpersonal skills.
- Ability to work in a fast-paced and constantly changing environment.
- Authorized to work in the United States without sponsorship.

Compensation:
The compensation for this job is: $23-25 /Hr. This is a general guideline only and not a guarantee of compensation or salary.
