Why We Need You:
As part of our Vietnam team, you’ll support the day-to-day operations of our office and help create an efficient, organized, and positive workplace experience for our employees and visitors.
You’ll work to support the Senior Office Administrator to support office and facilities operations, employee administration, business travel, company events, vendors, purchasing, equipment, and general administrative needs. You’ll be someone the team can rely on to stay on top of the details, coordinate multiple priorities, and make sure things get done.
This is a hands-on role where strong organization, ownership, and a customer-service mindset will make a meaningful difference in how our office operates every day.

Article currently has ≈70 employees in Vietnam, across our Sourcing, Technical Product Development, Quality, HR, Logistics, PMO and Accounting functions.

What You’ll Do:
You’ll work closely with the Senior Office Administrator to support the daily operations of our Vietnam office and ensure employees have a well-organized, safe, and welcoming workplace.
Office & Facilities Administration
- Support daily office operations, facilities, maintenance, cleaning, security, and workplace readiness.
- Manage office supplies, pantry inventory, equipment records, and general administrative needs.
- Demonstrated experience liaising with local government authorities and navigating regulatory and administrative processes, including immigration, work permits, temporary residence, and other workplace related requirements.
Employee & Workplace Support
- Support employee onboarding, offboarding, visitor arrangements, and day-to-day administrative requests.
- Assist with expatriate administration and maintain accurate, confidential records.
Travel & Events
- Coordinate business travel, accommodation, and local transportation.
- Support company meetings, team activities, and events, including venues, catering, and logistics.
Vendor & Purchasing Support
- Coordinate purchase requests, deliveries, invoices, and routine vendor follow-up.
- Maintain vendor and purchasing records and escalate issues when needed.
IT & Equipment Support
- Track office and IT equipment and support employee equipment setup, distribution, and collection.
- Coordinate routine IT requests with internal support teams or vendors.
Finance, Safety & General Administration
- Prepare invoices, expense claims, payment documentation, trackers, and routine reports.
- Support office safety, security, compliance, and administrative projects.
- Identify recurring issues and opportunities to improve office processes and employee experience.
Who You Are:
- 2–4 years of experience in office administration, facilities, or a related role.
- Diploma or equivalent qualification is nice to have.
- Good written and verbal English communication skills.
- Strong organizational and time-management skills with excellent attention to detail.
- Proactive, dependable, and able to manage multiple priorities independently.
- Strong coordination, and customer-service skills, with a proactive nature
- Proficient with Google Workspace and other common office software.
- Professional and trustworthy when handling confidential information.
- International or MNC experience is an asset.
- Able to work 5 days per week in our Thao Dien based office and support occasional off-site administrative tasks.
