About the opportunity

Join QIAGEN in Barcelona as an Office Administrator and play a key role in creating an efficient, welcoming, and engaging workplace experience. In this onsite role, you will support the smooth daily operation of the office, working closely with employees, leadership, visitors, external partners, and service providers. You will be a central point of contact for the site, combining hands-on coordination with a proactive and service-oriented approach.

Your tasks include

  • Managing day-to-day office operations, including facilities, maintenance, cleaning, supplies, equipment, vendor relationships, safety, security, and workplace standards.

  • Acting as the main point of contact for visitors, customers, auditors, employees, external partners, and service providers, ensuring a professional and positive experience.

  • Providing administrative and coordination support to leadership and employees, including scheduling, meeting logistics, reporting, communications, meeting materials, minutes, and documentation.

  • Coordinating internal events, offsites, executive visits, local celebrations, and employee engagement initiatives.

  • Monitoring the office budget and supporting the management of purchase orders, invoices, contracts, supplies, and related documentation in collaboration with Finance and other stakeholders.

  • Leading or supporting office relocations, workplace improvements, cross-functional projects, and process optimization initiatives.

  • Ensuring daily operations comply with company policies, local regulations, SOPs, mandatory training requirements, ethical standards, confidentiality requirements, and the QIAGEN Code of Conduct.

Your profile

  • Degree or master’s degree in Business Administration, Business Organization, Office Management, or a related field.

  • Minimum 3 years of experience in office administration, office management, facilities coordination, or a similar administrative role.

  • Experience in an international environment is beneficial; experience in the pharmaceutical, biotechnology, life sciences, or regulated sector is an advantage.

  • Confident user of Microsoft Office and familiar with office management tools, systems, and documentation processes.

  • Clear and effective communication skills in Spanish and English (mandatory).
