Job Summary

Office Administrator assists with the office’s administrative activities and coordinates various administrative processes and projects. Additionally, this individual will provide support to our agents by receiving, reviewing, filing, and submitting contracts, and other types of administrative work.

Essential Duties and Responsibilities

  • Answer and respond to incoming calls from clients, prospects, and staff.
  • Use appropriate mailing technology to send out marketing materials, client policies, etc.
  • Learn online database, run client lists accordingly, and effectively communicate with clients based off information gathered.
  • Scheduling and organizing activities such as onsite and offsite meetings, travel, and conferences.
  • Making outbound calls and setting up appointments using provided script.
  • Verify phone numbers, addresses, and email addresses with each customer contact and update customer information.
  • Informs customers of promotions and new or upgraded products using prepared scripts.
  • Schedule appointments for sales staff to meet prospective customers.
  • Ask each customer for referrals and explain our referral program.
  • Respond to all contracting, new business, or commission issues with all our carriers.
  • Provide knowledgeable customer service by responding to agents regarding the status of submitted documents, as well as resolving questions, inconsistencies, or missing data from documents they submitted. Take necessary action to ensure the data submitted is complete, correct, and accurate.
  • Process accurate updates, changes, and/or additions to contracts & licenses for agent appointments within required time frames; including licensing forms from carriers in the system and commission schedules for and from carriers in system.
  • Follows proper processes and procedures to ensure timely document turnaround and follow up.
  • Review new carrier and new agent onboarding.

Qualifications

  • High school diploma or GED
  • No experience necessary
  • Knowledge of Word, Excel, Access, and PowerPoint (graphing, presentation building, database management, and spreadsheet development)
  • Excellent verbal and written communication skills, including great phone presence.
  • Demonstrated ability to take and publish clear, concise, and timely notes.
  • Organized, detailed, & flexible.
  • Proven customer service background and the ability to work with a wide range of people and personalities.
  • Proven ability to prioritize and manage workflow with frequent interruptions.
  • Must enjoy being challenged with a variety of activities and responsibilities.
  • Confident, self-starter who works well independently.
  • Strong communication skills, both oral and written.
