This Office Administrator serves as an initial point of contact to the Plant and is responsible for the management and control of a wide range of complex and confidential administrative, operational, and support tasks for the Site. The incumbent manages sensitive information and ensures seamless delivery of services to the Site office. The nature of the work requires close and integrated coordination with other members of the Site office team and liaising with various internal and external parties.     

The Office Administrator may be required to work on holidays and weekends from time to time. 

Specific Accountabilities: 

  • Provide administrative support and assistance to the Office Manager and Site Manager.
  • Responsible for assisting with site i.e., uniforms, office supplies.
  • Responsible for assisting with the organization and maintenance of confidential files.
  • Preparation and presentation of new hire documents, including participating in orientations.
  • May be required to assist with payroll functions including timecard corrections and reporting.
  • Responsible for logging invoices as well as ensuring the corresponding paperwork is attached to the invoices.
  • Coordinate with Office Manager or Site Manager regarding queries on invoices.
  • Responsible for contacting employees regarding any schedule changes.
  • Responsible for printing, posting, collecting, and filing of SOP’s.
  • Ensure that scheduled periodic reporting is sent out on time and accurately.
  • Assist employees on filing expense reports, secure necessary approvals and submit for reimbursement.
  • Coordinate meetings for Office Manager and/or Site Manager and take minutes when required.
  • Maintain confidentiality of sensitive information and share with appropriate stakeholders.
  • Carry out any additional duties as assigned.

Responsabilités spécifiques :

  • Contribuer à l'organisation et à la tenue des dossiers confidentiels.
  • Préparation et présentation des documents des nouveaux employés, y compris la participation aux orientations.
  • Il peut être nécessaire d'aider aux fonctions de paie, y compris les corrections des fiches de présence et les rapports.
  • Consigner les factures et s'assurer que les documents correspondants sont joints aux factures.
  • Coordonner avec le chef de bureau ou le chef de site les demandes de renseignements sur les factures.
  • Contacter les employés pour tout changement d'horaire.
  • Responsable de l'impression, de l'affichage, de la collecte et du classement des procédures opérationnelles standard.
