About the role:
The Office Administrative Assistant (internally called Operations Coordinator) works closely with the Operations Manager to oversee the effective running of the office operations. The role is responsible for providing proactive and professional general office administrative support to the Operations Team.
In this role, you will:
Provide administrative support to the Operations Manager including calendar management, developing and editing presentations, printing, filing and other tasks as assigned.
Support local office events (i.e. ordering food, tables, chairs, etc. for the event and possibly attending).
Manage and monitor the inventory of office and kitchen supplies.
Reception coverage, and associated duties.
Responsible for processing office invoices and working closely with Operations Manage to ensure office remains on budget
Deposit incoming checks; distribute outgoing vendor/co-broker payments
Coordinate communications, schedules and information flow between departments.
Plan and coordinate meetings, organize large and complex activities such as cross-functional events, and schedule conferences and department activities.
Develop meeting agendas, take and distribute minutes and track action items.
Assist with various operational reporting requirements.
Manage domestic and international travel plans for the Operations Manager and extended team (if needed).
Manage approvals for expense reports and credit card reconciliations, while keeping the team updated on travel and corporate policies.
Contribute and participate in the development of new operational systems and processes and assist with change management activities.
Coordinate special projects on behalf of Brokerage leaders.
Prepare monthly Operations presentation slides
What you bring:
3+ years of experience within Administration is required.
Excellent organization skills.
Excellent written and oral communication skills.
Proficiency in Microsoft Office application (MS Word, Excel and PowerPoint).
Knowledge of SharePoint and Social Media tool will be considered an asset.

Approximate Hourly Range for this Role: $26.00/hour to $33.65/hour
Our hourly ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
Employees (and their families) are provided options for employer subsidized medical benefits including dental, vision as well as employer paid basic life/AD&D insurance and short-term / long-term disability. Employees are able to enroll in our company’s 401k plan, which includes an employer match. Employees will also receive 10 days of sick leave and a minimum of 15-days vacation annually. Certain senior-level roles are eligible for unlimited time off. Employees will also enjoy 10 paid holidays plus two personal flex days throughout the calendar year. Twelve weeks (for birth parents) and 4 weeks (for non-birth parents, including adoptive/foster parents) for paid parental leave will also be available for use after successful completion of 90 days of employment. Individuals may be eligible for different or additional benefits under applicable state law.
