D&S Dental Labs - Office Admin

Location: Waunakee, WI
Schedule: Full-Time | Monday–Friday | 8:00 AM–5:00 PM

We are seeking a dependable, organized, and customer-focused Office Administrator to support daily operations and help deliver exceptional service to our partner dental offices. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and takes pride in keeping processes organized and efficient.

Key Responsibilities
Case Management & Administrative Support
  • Process dental cases from receipt through completion, including unboxing, disinfecting, pan-up, scheduling, tracking, shipping, receiving, and billing.
  • Maintain accurate case records and updates within our laboratory management software.
  • Monitor case status and help ensure deadlines are met.
  • Assist with general office organization and administrative tasks.
Customer Service
  • Serve as the first point of contact for visitors, clients, and vendors.
  • Answer incoming phone calls, emails, and faxes professionally and promptly.
  • Assist dentists and their office teams with questions, case updates, and service requests.
  • Build and maintain positive relationships through exceptional customer support.
Team Collaboration
  • Communicate effectively with team members across multiple D&S locations.
  • Support various departments as needed to ensure smooth daily operations.
  • Contribute to a positive, professional, and team-oriented work environment.
QualificationsRequired
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Proficiency with computers and standard office software
  • Reliable attendance and strong attention to detail
Preferred
  • Administrative, customer service, or office support experience
  • Dental, healthcare, or laboratory experience
  • Experience working with scheduling or case management software
