Job Title: Occupancy Planner & MAC Manager

Location: Tokyo, Japan

What this job involves:

As a Moves, Adds, and Changes (MAC) Lead at JLL, you will be responsible for

managing workplace mobility and operational continuity for our clients in Japan. This

role focuses on coordinating team relocations, individual workspace adjustments,

and daily space reconfigurations to minimize business disruption and maintain

workplace agility. You will serve as the operational lead for MAC activities, ensuring

seamless execution from planning through post-move support. By delivering

exceptional coordination and maintaining high service standards, you will directly

contribute to client satisfaction and JLL's reputation for operational excellence in the

Japanese market.

What your day-to-day will look like:

● Develop 2-3 years City / building level Supply & Demand modelling and

scenario plans

● Track and manage space and occupancy data within IWMS and relevant

technologies, ensuring accuracy and completeness across all platforms

● Develop innovative space solutions by analyzing occupancy trends, utilization

patterns, and demand forecasts to optimize workplace efficiency

● Handle tactical occupancy planning activities including space planning, block

and stack plans, and site stacking plan options with detailed

recommendations

● Collaborate with the occupancy planning team on strategic campus and

building forecasts, proactively identifying risks and opportunities across the

Portfolio management, and change management initiatives to ensure smooth

execution

● Manage Practice Area space and occupancy data including supply-demand

analysis, growth projections, and allocation strategies forJapan

● Respond to GUTS tickets, conduct regular data quality governance reviews,

and maintain accountability for Monthly Management Reports and ad hoc

reporting requirements

● Lead end-to-end planning and execution of team and department relocations,

including project scoping, timeline management in PeopleMover, stakeholder

communications, and on-site vendor coordination

● Deliver First Day of Business (FDOB) readiness and Day-1 hypercare support

to ensure zero disruption during workspace transitions

● Process and resolve individual MAC requests and trouble tickets through the

local ticketing system, meeting established response times and quality

standards

● Coordinate physical workstation preparation and partner with operational

teams to ensure accurate desk setups and configuration

● Monitor weekly MAC operational metrics, track move volume trends, and

report on third-party vendor performance against agreed service level

agreements (SLAs)

● Oversee packing communications, digital form verification, and documentation

to maintain accurate records of all MAC activities

● Conduct post-move quality checks and gather feedback to drive continuous

improvement in service delivery

Required Qualifications:

● Minimum 5 years of experience in space planning, occupancy planning,

workplace strategy, or corporate real estate management

● Bachelor's Degree in Architecture, Interior Design, Real Estate, or related field

● Advanced proficiency in Microsoft Excel including pivot tables, complex

formulas, and data analysis techniques

● Strong presentation and communication skills with expertise in PowerPoint for

developing strategy decks and client-facing materials

● Experience working with IWMS tools or similar data management platforms

for space and occupancy tracking

● Demonstrated organizational skills with proven ability to balance competing

priorities and manage multiple projects simultaneously

● Exceptional attention to detail when maintaining documents, managing data,

and ensuring reporting accuracy

● Proven track record coordinating on-site relocations, physical office setups,

and MAC logistics workflows

● Fluency in Japanese and business-level English (written and spoken), with

the ability to draft clear instructions, communicate with diverse stakeholders,

and manage expectations in both languages

● Physical capability to perform hands-on workstation adjustments, handle

furniture reconfigurations, and lift/move equipment as required

● Excellent organizational and time management abilities with demonstrated

experience balancing scheduled projects and unscheduled daily tasks

Preferred Qualifications:

● Strategic-level occupancy planning experience with demonstrated impact on

portfolio optimization and organizational space efficiency across multiple sites

● Experience with office interior renovations, construction coordination, or

partnering with project delivery teams on large-scale relocations

● Working knowledge of AutoCAD and Computer-Aided Facility Management

(CAFM) systems

● Proficiency with GSuite applications including Docs, Sheets, and Slides

● Demonstrated financial acumen including budget management, cost-benefit

analysis, and understanding of real estate financial metrics

● Hands-on experience with move management applications such as

PeopleMover or similar space management software

● Basic familiarity with workplace IT hardware, desktop cabling, and standard

monitor mounting systems

● Experience compiling operational metrics, analyzing churn volumes, and

tracking vendor SLA compliance through reporting tools
