The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for a relief Nursing Administrative Coordinator to join our team! The Nursing Administrative Coordinator provides a wide range of administrative and clerical support and serves as the primary liaison to all administrative functions for nursing operations. This position works collaboratively with various levels of nursing staff to coordinate and manage the execution and completion of nursing projects. The Nursing Administrative Coordinator may often provide the initial contact for many external, and/ or internal customers communicating with the Agency. This position may require some local travel along with occasionally working a flexible schedule.
Your role in action:
- Coordinates project performance to support management control and decision-making activities.
- Keeps management informed of project progress and problems, particularly related to changes needed in schedule, resources, or product.
- Maintains effective workflow of assigned area. Works to resolve administrative issues that require immediate attention of Nurse leadership. Acts as a resource to and collaborates with other employees to assure the success of the Unit.
- Ensures accuracy of work produced through proofing and correcting documents and related forms prior to submission to Nurse leadership.
- Maintains flexibility and adapts to the changing needs of the Nursing Department.
- Provides software user support managing e-mails and personal calendars.
- Answers telephone, greets guests, and refers individuals to the appropriate department/staff on a routine basis.
- Schedules appointments and organizes meetings with external and internal individuals. Takes accurate meeting minutes and distributes them in a timely manner. Conduct all noted follow-up areas within the designated timeframe.
- Compiles mailing lists, creates presentation materials, drafts flyers, memoranda and correspondence.
- Manages and maintains nursing inventory by ordering and restocking supplies. Submits work orders for maintenance and repairs as needed.
- Maintains documents, records, and files according to organizational and departmental procedures.
- May respond to complaints from officials, staff, the public, and refer the complaint to appropriate staff.
- Confidential Information and sensitive data regarding consumers, employees and the Agency is protected at all times.
What qualifications will you need:
Education:
- High School Diploma or General Education diploma.
- Bachelor’s degree preferred.
Experience:
- Three (3) years of related experience
Knowledge, Skills & Abilities:
- Good organization and customer service skills.
- Proficiency in computer software programs, i.e., Microsoft Word, Excel, PowerPoint and database management.
- Ability to interact with and communicate effectively and tactfully with agency personnel, consumers and the general public in a positive customer friendly manner.
- Proficiency in established record keeping, filing, and purchasing processes and practices.
- Must have a computer keyboard speed of at least 65 wpm and pass all clerical support skills tests according to minimum agency requirements.
- Must be able to exercise discretion for sensitive matters.
